# How to record a once-off payment

# How to record a once-off payment

This help document will show you multiple ways in which you can add a once off payment. This could be used if a guardian is paying to settle their account at the centre.

**Option 1: Payments & Billing - Payment Accounts**

**Step 1:** Once you have logged into Xap, select payments & billing from the left-hand menu.

**Step 2: **This will bring you to the payment accounts screen, where you can select the three-dot menu next to the relevant family.

**Step 3:** Select 'Add a once-off payment' next to the relevant family.

**Step 4:** Complete all mandatory fields. You will be able to select 'Fee/Other Payments' if the family has already paid the amount. Alternatively, you can click debit online to take the payment from their card. Once complete, click Save.

| Note: You will also be able to save the card details to the family's payment account if they wish to use this card for ongoing direct debits.

**Option 2: Payments & Billing - Payments**

**Step 1: **Once you have logged into Xap, Select Payments & Billing.

**Step 2:**  Click on 'Payments', then the green plus button.

**Step 3:** Complete all the mandatory fields. You will be able to select 'Fee/Other Payments' if the family has already paid the amount. Alternatively, you can click debit online to take the payment from their card. Once complete, click Save.
