How to Edit or Archive a Role

Creating Roles and Setting Permissions: Part 2


Once you have created a new role, Xap allows you to modify the role.


This help document will explain how to view, edit and archive the role in detail.


** Step 1: ** Go to settings from the left-hand menu bar.



** Step 2: ** Click on the manage roles icon.



** Step 3: ** Click the three dots that are on the right-hand side of the role you wish to modify.



You will have three options:

  1. View the role.
  2. Edit the role.
  3. Archive the role.


** Please note that you will only be able to view the details of the centre, organisation and provider admins roles. You will not be able to edit or archive them. **



View a Role


Select this option if you want to view the details of the role. You can view information such as role name, description (if any), where the role has been assigned to and the permissions granted to the role.


Step 1: Click on view from the three-dots menu.



You will be able to view the role details in the view panel.



Edit a Role


Select this option if you want to edit the details of the role. You can edit information such as the role name, description (if any), where the role has been assigned to, and add or remove permissions granted to the role. ** Please note that you will not be able to edit the centre, organisation and provider admins roles. **


** Step 1: ** Click on edit from the three-dots menu.



** Step 2: ** Edit the relevant details in the edit panel. Once you have made the necessary changes, click on save.



In the image below, you will be able to see the changes made to the role.




Archive a Role


Select this option if you want to archive the role. You can archive a role when it is no longer required. Once a role has been archived, you will no longer be able to assign users to that role. ** Please note that you will not be able to archive the centre, organisation and provider admins roles. **


** Step 1: ** Click on archive from the three-dots menu.



** Step 2: ** Click on archive role.



** The role has been archived. In the image below, the role of 'Educator New' is no longer listed. **
