How To Manage Activity Settings

Use your mobile device to send, edit or remove daily activities and photos to parents. To make sure that you are sending the correct information, we allow scale plan and enterprise plan customers to customise their activities.

This help document will demonstrate how to manage activity settings.

Step 1: Click on settings from the left-hand menu bar.

Step 2: Click on the activities icon.

Step 3: Click on edit at the top of the screen to select your preferred access level where these settings can be configured.

Child Activity settings can be configured either at organisation, provider or centre level. These settings include activity types and learning frameworks.

Step 4: Configure your setting management level.

Users with an organisation admin role can configure child activity settings at either organisation, provider or centre level.

  • Organisation Level: You can customise these settings for the organisation. The system will use these settings for all the centres in your organisation(s).
  • Provider Level: You can customise these settings per provider in your organisation. The system will use the specific settings relevant to the provider for all the centres under that provider.
  • Centre Level: You can customise these settings per individual centre in your organisation. The system will use the settings of the specific centre.

Step 5: Browse through the existing system-defined activities as indicated in the screenshot below.

How To Edit An Existing Activity

Children participate in different planned or unplanned activities during the care period at the service. These activities can be related to the program plan or they can be day-to-day activities such as having food/drink and sleeping.

Do you have specific activities that you would like to record at your centre? Use our edit activities option to edit fields from the list of activities that you do daily and would like to record. These can be sent as daily updates for parents to view or be recorded with the "staff-only" option enabled to internally track a child's progress and development.

To edit an existing activity, please follow the steps below:

Step 1: Select the activity you would like to edit.

Step 2: If you would like to disable the activity, you can un-check the option indicated in the image below. You can also change the name and icon of the activity.

We recommend that you do not change the name & icon of the activity.

Activity Name: This is the title of the activity. This title will appear on the activity update in the child's daily activity feed, along with any descriptions or pictures you choose to record.

Step 3: To add a new field, click on the list icon as indicated in the image below.

Step 4: Select the field you would like to add to the list.

Each field on the activity form offers several options:

  • Text input: Text fields let users enter and edit the text in around 50 to 80 characters.
  • **Text area: ** The text area tag defines a multi-line text input control. A text area can hold an unlimited number of characters, and the text renders in a fixed-width font.
  • Add dropdown: A dropdown is a closed-ended field type where users can select only one answer from a menu of choices. This is ideal for presenting a long list of options without cluttering your form.
  • Add date: The date field lets people enter a date in the proper date format, or choose a date via a date picker.
  • Add time picker: Time picker is a control that lets a user set a time value.
  • Add attachment field: An attachment field or file upload field is used to provide users with the ability to attach files to their submission forms, such as photos, PDFs or other documents.
  • Add framework: Select the choice of your learning framework so that the outcome can be recorded against the activity.

Step 5: Understand the available options below for the main configurations.

  • Show: If the show option is enabled, it will display the question in the enrolment form.
  • Mandatory: If selected, the question will be mandatory to complete while submitting the enrolment form.
  • Lock: The lock symbol represents a field that cannot be adjusted .

Step 6: When you have finished customising, scroll down to the bottom of the page, and click 'save'.
