Managing Temporary Service Closures
This article will assist you with managing temporary service closures.
Overview
Temporary closure are for CCS and non CCS Services. There are three main scenarios where you may need to close your service for a period of time:
- Whole Centre closing for a period (Monday - Sunday)
- Closing Rolls (not the whole Centre - CBC)
For example:
- CBC closing BSC/ASC Rolls but still providing other care such as Vacation Care
- Closing Rolls not whole Centre – OSHC
For example:
- OSHC Services closing ASC/BSC but still providing VAC.
Scenario 1 - Closing for a period – Whole Centre Monday to Sunday period
- Operational Profile

- Edit Operational Profile

- Select Temporarily Closed
- Add in From and To Dates
- Select Booking Configuration eg. Remove.
- Tick to Notify CCSS of temporary closure

Closing Mid Week
If you are closing/re-opening mid- week for example closing on a Thursday and re-opening on a Tuesday you will need to close days individually via exceptions- Select Operational Profile

- Select Holidays and Exceptions > Green +

- Select Exceptions and enter in individual dates
- Select Temporarily Closed & Select Effect on Existing Bookings.

**You will also need to report these closure to CCSS. **

- Select CCSS Details Screen
- Select Service

- Select Temporary Closure

- Add in Reason for Closure eg. Closing over Christmas or other holiday period(s)
- Add in Closure dates
- Select Submit to CCSS

Scenario 2 - Closing Rolls (not the whole Centre - CBC)
Use this scenario if you are a CBC that also offers an OSHC Program
- Make Fees for ASC/BSC internal

- Make Fees for VAC available (untick internal use only if applicable)
- Manage Operational Profile for any date WHOLE Service is closed
Scenario 3 - Closing Rolls (not the whole centre - OSHC)
- Manage Operational Profile for any date WHOLE Service is closed
- Manage Operational Profile for Care type eg. ASC/BSC for period and only select VAC care type and hours/days as operational
In this example, we have "closed" the ASC/BSC and have only left VAC open from this new effective date.

- Once the Vacation Care Operational Dates commence, create a new Operational Profile from when ASC/BSC recommences
Exceptions for closures non Monday to Sunday (mid week) dates
- Create individual exceptions for dates. Eg the Thurs, Friday, Monday Tuesday dates only.
- Select Effect on existing Bookings.

- Select CCSS Details Screen
- Select Service
- Select Temporary Closure

- Add in Reason for Closure eg. Closing over Christmas or other holiday period(s)
- Add in Closure dates
- Select Submit to CCSS

Fee Management
- Make Fees for ASC/BSC internal
- Make Fees for VAC available
