This article will assist you with managing periods of emergency for your CCS Services.

What constitutes a period of emergency?


Help is available for families and early childhood education and care services in the event of an emergency, like bushfires, storms, or floods.

Support includes

  • gap fee waivers
  • extra absences
  • support for service closures

Note: Please refer to communications from the Australian Government Department of Education for directions regarding your specific event.


Managing the GAP Discount in Xap


If you have been approved by CCSS to discount the GAP, this can be managed within Xap.


  1. Create a GAP Discounts for your Service see: Gap Discount - Emergency Closures
  2. Apply the Discounts to the required child/ren see: Emergency GAP Fee Waivers
  3. Mark the attendances for the period of emergency as absent. see: Marking absences in bulk
  4. Depending on the period of emergency and advise from Australian Government Department of Education you may need to submit a notifiable event. see: CCSS - Notifiable Events, and Emergency Service Closures
  5. For QLD Kindergartens - Add in Pause periods to your programs see: Adding in Pause periods
  6. Add in Public Holidays for the closure dates to still allow you to claim for the closure dates see: Public Holidays & Exceptions
Note: QLD Kindergartens will also need to ensure the closure dates are noted as a Public Holiday to allow you to claim the QLD Kindy funding during the closure periods.
