Lead CRM - Blocking out Tour Slots


This article will assist you with blocking out Tour Slots for your Service.


Overview


The Tour slots are linked to the Lead CRM system within Xap. This allows you to capture Expressions of Interests from Families and book them into Tours for your Service.

However, if there are periods that you would like to Block out for example. Holiday periods when your Service is closed. You can Block these out within your Calendar.


Blocking out Tour Slots


Once your Settings have been configured you can create the Tour Slots for the Service.

To assist you with the Full Lead CRM setup see: Lead CRM - Setup


  1. Within the Tour Calendar Setup Screen, select the Green + button



  1. Select Block out Tour Slot



  1. Start Date - Add in the Date to start blocking Tours from
  2. End Date - Add in the End date to block out Tours for
Note: This can be for a single day eg. Public Holidays, or for a period eg. School Holidays. Or simply if you wish to indicate to other people in your Organisation Days and Times that you don't want Tours to occur.
  1. Slot **- Select the Days Tours **cannot be booked
  2. Start Time - Select the Start Time Tours cannot be booked
  3. End Time - Select the Start Time Tours cannot be booked
  4. +Slot - Select if there are more Days or Times that are being blocked out or
  5. Select the Service/s to assign these settings to
  6. Select Save button to save the Tour Settings


In this example we blocked out a whole day.



The Blocked out Tour Days and Times will display on the Calendar
