Lead CRM - Setup


Overview


The Lead CRM will allow you to manage Tours and Booking enquiries for new Families for Enterprise Clients.

Tour Calendar Settings

To setup the Tour Calendar for the Service:


  1. Select the Settings screen from the pop-out menu on the left-hand side of the program.
  2. Select the Tour Calendar Setup option



iFrame Generation


The iFrame setting allows you to configure your Leads/Tour information for either your Organisation, Provider or Centre level.

This screen also provides you with the links to add to eg, your services website or your communications.


  1. Select Generate iFrame


  1. Select the enquiry configuration

Configuration level

Description

Organisation Level

Displays the Organisation information, Guardian can select any Service linked to the Organisation for the Tour/Enquiry

Provider Level

Allows the Guardian to select any Service connected to the Provider

Centre Level

Display a separate iFrame per Service (great for Organisations who have an individual web page per service)

Note: The settings are generated each time they are needed and not stored as a saved setting.
  1. Select the iFrame information



If Centre level is selected, you can select the specific Service, then generate the iFrame for the Service.




The iFrame links can be inserted onto your Website by your IT Team.




Tour Settings


To configure the Settings for Tour Slots for the Service:


  1. Select the Edit Settings option


  1. Set the minimum hours before tour time to allow tour booking
  2. Set the minimum hours before tour time to allow the tour to be re-scheduled
  3. Set the maximum number of tours per tour time
  4. Add the email address for Tour notifications
  5. Add the contact number for the Tours
  6. Set if you would like a calendar & email reminder to be sent to Families and the Service and set the time
  7. Select if you would like an automatic email to be sent to Families after marking a Tour Completed
  8. Select if you would like an automatic email to be sent to Families after marking a Tour no-show
  9. Set the days of care you provide
  10. Add in Text for the welcome enquiry email.
  11. Select if you would like custom or specified tags
  12. Select the Centre/s to copy the settings across to (if applicable)
  13. Select Save to save your Settings





Tour Slots

Once your Settings have been configured you can create the Tour Slots for the Service.


  1. Within the Tour Calendar Setup Screen, select the green + button



  1. Select Add Tour Slot
  2. Tour Slot Period - Set the Tour Start and End Dates
  3. Slot - Select the Days Tours can be booked
  4. Tour Slot Time - Set the times Tours can be booked
  5. Select the + button to add further Tour Slot days and times
  6. Select the Service/s to assign these settings to
  7. Select Save button to save the Tour Settings



Viewing Created Tour Times


The Tour slot days and times will display on the Calendar
