Emails - How to send Bulk Emails to Families


This article will assist you with sending bulk emails to your Families.



Overview


Your may like to send out Bulk Emails to selected Families at your Service.


Some examples of bulk emails could be:


  • Attaching new Vacation Care Holiday Schedules
  • Sending out Newsletters
  • Reminders to Families of Upcoming Events for a particular room or for the whole Service
  • Overdue Account reminders with eg. The Services Fee Policy attached
  • Permission forms for Excursions


What Screen can bulk emails be sent from?


Bulk Emails can be sent to your Families via:


Families screen

  • Families Tab
  • Guardians Tab
  • Children Tabs


Bookings & Attendances Screen

  • Rolls Tab
  • Bookings Tab


Payments & Billing Screen

  • Accounts Tab


Waiting List Screen

  • Leads Tab
  • Waiting List Tab
  • Pending Enrolments Tab


How to bulk email


The process to bulk email is the same regardless of the screen or tab you have selected.

  1. Use your Filters to select the required Family information
  2. Select the Families to include in the bulk email
  3. Select Bulk Action
  4. Select Send Email


Note: All bulk emails will be sent out as BCC's for privacy.


Example:


Bookings & Attendances Screen


In this example, we are filtering on BSC and ASC rolls only to send the new Vacation care Program out.


  1. Select the Families Screen
  2. Select the Children Tab
  3. Select the Filter icon



Apply your required filters, example below:


  1. Select the Status of the Children - Active/Inactive
  2. If you are in Enterprise (multi-centre) select the Centre name
Note: If you are in single centre (blue banner) the centre name will automatically be selected.
  1. Select the Room/s to include
  2. Select Update Search



The screen will show the updated/filtered information.


  1. Select the Children's names
  2. Select Bulk Action
  3. Select Email from the drop-down menu


Note: The screen will load in batches of 25, check the bottom left hand side to ensure you select ALL required families.



  1. Select the Template if you have one created
  2. Add the email subject
  3. Add/Edit the body of the email information
  4. Add Attachments (if required)
  5. Select Send Email
