This article will assist you with an overview of the Dashboard screen within the Xap program.


Overview of the Dashboard


The Dashboard provides you with an Overview of your Services information. The Screen is displayed in 3 parts.



  1. Dashboard Overview

A. This initial screen enables you to select through to the Various tabs within Xap

B. Quick links to Help Guides, Release Notes and Logging a Support Ticket

C. Quick Filters for CCSS inlcuding Ceased or Ceasing Enrolments


  1. Overview - Full Service Overview (multi-centre option)
  2. Bookings - Daily Overview of a selected Service





Overview Tab


The Overview Tab on the Dashboard screen provides you with information for the Service.

You can filter using the drop-down menus selecting:

  1. Providers
  2. Centres




This includes the top graphs:

  1. Families - Displays total Amount of Families at the Selected Service, is then broken down into statuses.
  • Active
  • Inactive
  • On Waitlist
  1. Children - Displays total Amount of Children at the Selected Service, is then broken down into statuses.
  • Active
  • Inactive
  • On Waitlist
  1. Guardians - Displays total Amount of Guardians at the Selected Service, is then broken down into statuses.
  • Active
  • Inactive
  • On Waitlist
  1. Nominees - Displays total Amount of Nominees at the Selected Service, is then broken down into statuses.
  • Active
  • Inactive
  • On Waitlist
  1. Legend - Displays the colour and name for each item on the Graph
  2. Children by Age Group in Months - Displays the Total number of children broken into age ranges
  3. Children with Health Conditions - Displays the total number of Children at the selected Service/s with tagged Health Conditions
  4. Legend - Displays the colour and name for each item on the Graph



  1. Payment Methods - Displays the total number of payment Methods and each type of Payment Method
  2. Gender - Displays identified genders of Children
  3. Incomplete Immunisations - Displays any children who have immunisations that are out of date
  4. Expired Documents - Begins displaying 14 days in advance from the documents expiry date the Child, Family, Document name and Expiry Date
  5. Upcoming Birthdays - Begins displaying 14 days in advance from the Children's Birthday occurring.





Bookings Tab


The Bookings Tab on the Dashboard screen provides you with information for the Service regarding Today's information.

You can filter using the drop-down menus selecting:

  1. Providers
  2. Centres
  3. Rooms



The next section on the Bookings Tab displays:

  1. **Booked **
  • Total number of Children booked in for the current day
  • Each of the Rooms the children are booked into
Note: You can hover over each item to view the numbers
  1. Signed in
  • Total number of Children signed into the Service for the current day
  • Each of the Rooms the children are Signed into
  1. Signed Out
  • Total number of Children signed out of the Service for the current day
  • Each of the Rooms the children are Signed out of
  1. Absent
  • Total number of Children marked as Absent for the current day
  • Each of the Rooms the children are marked Absent for
  1. Pending
  • Total number of Children booked in for the current day but not currently Signed In or Marked as Absent
  • Each of the Rooms the children are booked into but not confirmed for the current day
  1. Weather Widget
  • Weather Notifications
  • Wind Information
  • Rain Radar
  • Sun Information
  • UV Ratings





The next section of the Dashboard - Bookings Tab displays:

  1. Attendance Status Displays

ABS - Children marked as Absent for the current day

IN - Children signed into the Service for the current day

OUT - Children signed out of the Service for the current day

SCH- Children scheduled to attend the Service for the current day, currently not Signed in or marked as Absent

Note: This section also displays Child Name, Guardian 1's Name and Emergency phone number, Room the child is booked into, Fee and any Tags eg. Dietary, Medical conditions
  1. Health Conditions
  • Breakdown of any Health Conditions for Children booked in for the current day
Note: Hover option displays total number of each noted Health Condition
  1. Diet Requirements
  • Name of Child
  • Room the Child is booked into
  • Noted Dietary Requirements



  1. Children by Rooms
  • Total number of Children booked into each room for the current day
  1. Permanent Vacancies
  • Total number of permanent vacancies available per room per day for the selected dates
  1. Weekly Vacancies
  • Total number of Vacancies across all rooms for the selected Week
