Gap Discount - ECEC Educators/Cooks


Providers can offer discounted rate for some employees e.g. Educators & Cooks, without reducing their CCS payments to the service.

How the Gap Discount works:

  • is a prescribed discount
  • is applied after CCS calculation
  • will not reduce a family’s CCS entitlement
  • requires the employee to pay at least 5% of the gap fee.



Scenario


Preeti is an Educator at your service and has 1 child attending 3 days a week.

Your daily fee is $100.00 for an 8hr session, her CCS rate is 70%.

Without the discount her Gap would be $90 with the 50% discount applied her Gap will be $45.00.


Example calculation:

Workforce Discount applied for 50% (of the $90.00 Gap)

Discount Options

Type

Description

Amount/Percentage

Allows Discounts to be applied directly as required to specific bookings

Rules - Applied Weekly

Allows Discounts to be applied automatically

Rules - Discount applied Weekly with Period Limit

Allows a 'period total' discount limit for the "Discount by Weekly Gap" rule, so that weekly discounts can be applied to bookings without surpassing a predefined cap.

Rules - Applied Per Booking

Allows a Gap discount per booking, so that eligible bookings automatically receive the discount.


Actions

  1. Apply Tag's to children
  2. Create the Gap Discount
  3. If selecting Rule based - no action required
  4. If selecting Amount/Percentage - Directly apply to Bookings



Step 1 - Apply Tag's to Children


It is recommended to apply Tag's to your eligible children who will receive the Educator discount.

This will allow you to apply Rule based discounts as required.

Note: Tags will need to be added before the discount by rule is created to allow the automatic discount to be applied. If the Tags are added on after the discount is created, you will need to apply the Discount directly. see: Applying a Discount


Step 2 - Create the ECEC Educator/Cook Discount (Prescribed)



  1. Select the Discount Setup icon from the Settings menu

  1. Select the green +Add button


  1. Select the Centre name

  1. Add the name of the discount
  2. Select Gap Discount
  3. Select the Discount Category from the drop-down menu
  • State/Territory payment for preschool child
  • State/Territory payment for vulnerable or disadvantaged child
  • State/Territory operated provider discount for preschool child
  • Prescribed period of emergency
  • ECEC Educator or cook discount
  1. Add in the description (This will appear on your Family invoices & statements)


Step 3 - Option 1 - Discount by Rule (Automatically applied to bookings)

  1. Select Rules
  2. Set Bookings from date (note cannot be backdated)
  3. Select Discount Rule - In this example selecting Per Booking
  • Applied Weekly - Automatically applied weekly to current bookings
  • Applied Weekly with Period Limit - Automatically applied weekly upto the capped amount (great option for State Funding exc. QLD Kindy)
  • Applied Per Booking - Automatically applied weekly for any bookings for the child (will pick up and apply to casual bookings as well)
  1. Set Discount type - $ or % and add amount e.g. 50%
  2. Select Save


Step 3 Option 2 - Discount by Amount/Percentage (Directly applied to bookings)


  1. Choose Amount/Percentage type
  2. Set Bookings from date
  3. Set Discount type - $ or % and add amount e.g. 50%
  4. Select Save
Option to lock the rate in or if ticked allow Users to change the % or $ discount up to the added amount, e.g. change to 35%


Discounts screen will display the Type of Gap Discount & Category as well as how it will be applied.
