How to View/Update CCS Service Details


The purpose of the service interface is to provide access to users to manage the service change of circumstances process. This interface is used to receive and process new information that relates to a change in circumstances of an approved service, some of which is required under law and some of which is not, but is necessary to administer the child care subsidy system and ensure its records are up to date.


The purpose of this guide is to provide an introduction to the usage of the service interface application.

Step 1: Click the CCSS icon from the left-hand side menu.



Step 2: Click on the services icon from the available CCSS interfaces.



Step 3: Once you click on the service icon, you will be able to view your service's details on the screen. If you have more than one service, select the service from the left navigation to view/update the details.



**Step 4: ** Overview of Notifiable Events


Select an active notifiable event or update event to open the event page.


Notifiable events include:


  • Service contact details
  • Service location of records (closure)
  • Service name change
  • Service notification of approval
  • Service notification of incident (BBFS)
  • Service physical and postal address
  • Matters affecting service approval
  • Service temporarily ceasing


Understanding the Event Interface


Most event pages follow a very similar structure. On the left are the navigation items to move between different notifiable and update events. Clicking on these will scroll to the active event.


The centre of the page is the main event content information, here is where the user can submit changes relevant to the active event.


  • Clicking on the edit button will open the panel on the right.
  • Clicking on the update button will save the changes to the CCSS website.
  • Clicking on the cancel button will cancel the update.



**Step 5: ** Once the side panel is open, you can make the relevant changes and click on the submit button to update the provider details.



Understanding Service Update Events


Provider Charitable Status


The provider can advise that they are now a charitable operation or they are no longer operating as a charitable operation.

Provider Financial Details


The provider can advise on new bank account details, and nominate them to be used for all services under that provider.

Provider Request to Cancel Approval


The provider can request that the department cancel their approval.

The current provider status is provided on the screen.

If the current status is "cancelled" you cannot submit this event.


Understanding the change of Event Deadlines


Service contact details


This service changes one or more of the following fields:


  • Email
  • Phone number
  • or mobile number


Update due no later than 14 days after the change including evidence of change (attachment)

Service location of records (Closure)


Only applicable to a service which has closed or whose approval status has been cancelled.


A selected service must notify the location of records or change of location.


Service Name Change


A selected service changes its name.


Update due no later than 14 days after the change including evidence of change (attachment)

Service Notification of Approval


This provider must notify if they or one of their services are not complying with a condition for continued approval.


Notification due as soon as practicable.

Service Notification of Incident (BBFS)


A selected budget based funding service must notify the department when a serious incident occurs at a service or a circumstance that could have resulted in a serious incident occurring.


Notification due no later than 24 hrs after the incident or circumstance.

Service Physical and Postal Address


A selected service changes their physical or postal address due to:


  • Sale of premises
  • Termination of the lease
  • Unforeseeable circumstances


Update due no later than 30 days before the change, or if the change was not foreseeable at the time as soon as practicable.


Service Temporarily Ceasing


A selected service is temporarily closing due to either foreseeable eg.:


  • Utility interruptions
  • Building renovations
  • Christmas holidays
  • Or foreseeable events eg.
  • Local emergency
  • Storm
  • Fire
  • Earthquake etc


Notification due to no more than 24 hrs after closure for unforeseeable, or no later than 42 days before the foreseeable event.


Service Child Care Places Offered


A selected service can advise the department of a change to the number of child care places they offer.


Service External Management


A selected service can advise the department of a change to external management to provide day-to-day administration or management of service on its behalf.

Service Financial Details


This provider can advise of new bank account details, and nominate them to be used for all services under that provider.


  • A Service level financial update will override the details below.
  • Service operating weeks per year


A selected service can advise the department of a change to the number of weeks the service will be operating to provide child care.

Service Trustee


The provider can advise that a trustee has been added or removed from a service.
