Smile APP - Managing Casual Bookings


This article will assist you with managing Casual bookings via the WEB Portal for Guardians & Carers.


Overview


Casual bookings can be added via either the WEB Portal for Guardians & Carers or via the Smile APP.


Depending on the Services settings, Casual bookings will either:


  • Be approved straight away
  • Be a request and will need to be approved by the Service


In both circumstances you will receive a notification once the Casual day has been accepted or if it has been rejected.


Requesting a Casual Day via the Smile APP


If you would like to manage this via the Web Portal see: WEB Portal - Managing Casual Bookings


  1. Log into the Smile APP on your Device



  1. Select the Bookings icon



  1. Select the Green + button



  1. Select the name of the child the casual booking is for



  1. Select the payment account details to be invoiced for the booking



  1. Select the Room for the casual day



  1. Select the Session (Fee) for the casual day



  1. Select the Booking Type as Casual



  1. Select the Date/s from the calendar
  2. Select Done



  1. Add a Discount code (if applicable)
  2. Tick that you agree to the Services Booking Terms and Conditions
  3. Select Request booking



  1. Select OK



Depending on your Services Casual booking settings, you may need to wait for the day/s to be approved.


Viewing an Approved Casual Day


If the Casual day has been approved, you will receive a notification via the WEB Portal and also via the Smile APP.


  1. Select the Notifications icon



  1. View the Approved or RejectedNotifications and statuses


  • Approved = Casual day has been Approved by the Service
  • Rejected - Service has rejected your request for the Casual day on the selected date



Cancelling a Casual Day


If you have requested a casual day and it is no longer required or you have selected the incorrect day/s, you may be able to cancel them.


Note: This will depend on the Services cancellation policy. For further information you will need to contact your Service or read the Terms and Conditions.


  1. Select the Bookings icon



  1. Select the 3 dot menu for the incorrect/no longer required Casual Day



  1. Select Cancel Booking
Note: If the Cancel Booking option is not displaying, you will need to contact your Service directly to assist you further as they may not have enabled cancellation of Casual Days.



  1. Add in the Cancellation Reason
  2. Select Confirm Cancellation



The Cancelled Date will display within your Booking details.



The Service will be notified regarding the Cancelled Casual Day.
