CCS Enrolments Error - Reason for Late Submission of Enrolment Notice


CCS has requirements around Enrolment submissions, the Enrolment Start Date cannot be backdated for than 7 days from today's date without providing a reason.

Meaning:


If the Enrolment start date is being backdated due to sessions commencing prior to the initial Start Date, and the Start date is greater than 7 days from Today's date, the Service will be prompted to add in a Late Submission Reason.


Why the error occurs


The Message of 'Reason for Late Submission' indicates that the Enrolment start date is being backdated greater than 7 Days from Today's date. This can be for a new Unsubmitted CCSS Enrolment or an Active CCSS Enrolment, where the Arrangement date is being changed.

This warning will also generally be linked to CCSS Session errors of Supplied Sessions of Care must fall within Enrolment Start and End Date or No Active Enrolment found for given Enrolment ID and Dates


The message will be displayed on your Enrolment Submission Alert reports failed to submit email as below and will include the information of:


  • The name of the child
  • Family name
  • Enrolment ID
  • Error


Applying a Late Enrolment


To correct the late submission reason for a CCSS Enrolment.


  1. Search on the name of the child
  2. Select the child Profile Tab
  3. Select the Enrolments Tab
  4. Select the 3 dot menu
  5. Select Edit from the drop down menu




Within the Edit Enrolment Screen


  1. Change the Arrangement Start Date to the correct date
The system will automatically detect if the date is greater than 7 Days and display the Late Submission Reason field.
  1. Add in the Late Submission Reason
  2. Select Save & Send to CCS




Why the error needs to be resolved.


If the message is not resolved this can impact the Service and Guardian for paid CCSS.


  • The Session for the child with the error will not submit successfully for processing until the message has been corrected
  • Can cause a Breach with CCSS due to the session not being submitted within 14 days required period
  • CCS will not estimate on any Sessions not covered by a CCSS Enrolment
