CCS Session Error - Service not Active


This article will assist you with managing the CCS session error of Service not Active.


Meaning:


The CCSS Message of 'Service not Active" indicates that the Sessions are being submitted prior to the Services CCSS Approval Start Date.

Note: This can also be connected to the Child's CCSS Enrolment commencing prior to the Services CCSS Approval Start Date see: CCSS Enrolment Error - Service not Active


Why the error occurs


The Message of 'Service not Active' indicates that the child has sessions on the Bookings & Attendances screen to be submitted to CCSS prior to the Services CCSS Approval Start Date.


eg.

Child has sessions on the Rolls from the 8/3/21 - 9/3/21

Services CCSS Approval Start date is: 10/3/21


The message will be displayed on your Session reports failed to submit email as below and will include the information of:


  • The name of the child
  • Family name
  • Week Start Date that is incorrect
  • Total Fees Charged
  • Error



Correcting the Error


To resolve the Service Not Active Session Error.


Scenario 1. Service not charging for the day/s, incorrect entries


  • Delete any sessions on the Rolls prior to the Services CCSS Approval Start Date

Scenario 2. If the Service is charging for these days


  • Delete the Sessions off of the Rolls prior to the Services CCSS Approval Start Date
  • Add the Sessions back on under a Non-subsidy Fee
  • Link the bookings to a Non-Gov Enrolment Type



Why the error needs to be resolved.


If the message is not resolved this can impact the Service and Guardian for paid CCSS.


  • The Sessions for the child from the Service CCSS Approval Start Date will not submit successfully for processing until the message has been corrected
  • Can cause a Breach with CCSS due to the session not being submitted within 14 days required period
