Clearing a Marked Attendance in Xap


If you have Children that may have been incorrectly marked in the system, you can “Clear” this out of the system to allow the correct information to be added.

This can be completed via the main Xap program or via the Connect App.


Some examples of when you may need to clear an attendance are:

  1. The child has been signed out of the Service incorrectly as they are still on the premises.
  2. The child has been marked as an Absent, but is in attendance
  3. The child has been incorrectly signed in & out but is absent

Viewing Marked Attendances in Xap


  1. Select the Bookings & Attendances screen
  2. Select the Attendances screen on the top menu



There are 2 clearing marking options


  1. Clearing only eg. Child being signed out incorrectly
  2. Child being signed in/out if they are absent or marked absent and they are in attendance


Scenario 1: Clearing an incorrect sign out time

To clear all the marked information for an individual child:


  1. Select the 3-dot menu for the selected child and date.
  2. Select clear attendance

To clear out only selected marking information, this is completed by using the Bulk Action, and the clear attendances option.




Scenario 1


The child has been signed out but is still at the Service.


To remove the Sign out Time but leave the Sign in Time. On the Attendances screen:


  1. Search on the name of the child
  2. Select the status of Complete
  3. Select the required dates
  4. Select Search
  5. Select the box next to the incorrect day/s
  6. Select Bulk Action
  7. Select Clear Attendance


  1. Select the option of Clear Sign out details
  2. Select Save




The Sign out time will be removed, allowing the correct Sign out time to be added when the child is collected from the Service.





Scenario 2


The child has been marked as an absent but has now arrived at the Service


  1. Search on the name of the child
  2. Select the status of Complete
  3. Select the required dates
  4. Select Search
  5. Select the 3 dot menu next to the incorrect day
  6. Select Clear Attendance


Note: If there was more than 1 day that requires clearing of all attendance marking, you can follow the Scenario 1 process above.



  1. Select Confirm Clear



Scenario 3


The child has been incorrectly signed into ASC and BSC for the same times and you now have overlapping times.


You can either:

  • Use the Clear Attendance option as per the above examples
  • or simply **edit **the Sign in times for ASC.


The below example is editing the times.

Note: This process would also work if you were correcting incorrect or overlapping Sign out times.


  1. Search on the name of the child
  2. Select the status of Complete and Incomplete (this will allow you to view complete marking and also attendances that only have sign in times)
  3. Select the required dates
  4. Select Search
  5. Select the 3 dot menu next to the incorrect day
  6. Select Edit



  1. Correct the Sign in Time
  2. Select Save



The correct Sign in Time will be displayed, this will resolve the **CCSS Session error **of Time In/Out must not overlap with other session for the same day
