Manage changes to a recurring booking

How to make changes to a recurring booking.


Recurring booking patterns (weekly or fortnightly) may need to be changed for a few different reasons:


  1. Extra day/s are being added permanently with existing room/sessions
  2. Current days are changing permanently and/or fee/room is being updated
  3. Days are remaining the same, however the room or fee is changing for a period of time


Bookings can be managed via the Global Add button, the Family screen or via the Bookings and Attendance screen


1. Extra day/s are being added permanently


If additional day/s are being added eg: Current bookings are Wednesday, Thursday and the extra recurring day is adding a Friday.


  1. Select the Families screen
  2. Select the Family name
  3. Select the Bookings Tab
  4. Select the Green + button



  1. The Add Bookings screen will appear


a) Select the Name of the child

b) Select the Arrangement Type

c) Select the options of Repeat Weekly or Repeat Fortnightly

d) Select the Start date of the Monday of the week that the new booking comes into effect

e) Booking changes:

  • Select the Additional day/s only (select the plus if there is more than 1 additional recurring day being added) - Do not add any days that the booking pattern already includes
  • Select the Room/Roll name
  • Select the Session/Fee
Note: When the room is selected only the Sessions linked to that room will display. To assign a different session to a child than the standard linked to the room, select Show all sessions. This will now display all sessions for your Service.

f) Select the + add button for additional days

Note: The +add button will automatically add the next day from the first selected day and mirror the room/fee selected, drop the day down if a change is required

g) Select if there are any Discount options to be applied

h) Select if there are any Preschool or other subsidies to apply

i) Select the Update the overlapping bookings and create missing bookings between the period option under Effect on existing bookings

j) Select Save



2. Current days are changing permanently and/or Room or Fees are being changed


As the recurring booking pattern is changing, you can add a new booking pattern and select the option to delete the future dated current bookings and create a new booking.

For example:

A. The child is currently attending Wednesday, Thursday and is changing to Wednesday, Thursday, Friday

B. The child is currently attending 5 days a week and is changing to 3 days a week

C. The Days are remaining the same, however the child is moving to the next room/roll.


Repeat steps 1 - 4 as per example 1.


  1. The Add Bookings screen will appear


a) Select the Name of the child

b) Select the Arrangement Type

c) Select the options of Repeat Weekly or Repeat Fortnightly

d) Select the Start date of the Monday of the week that the new booking comes into effect

e) Select ALL the recurring booked days, Room name and Session by using the +add button. If the Room or Session is being changed, select the new room and session.

Note: The +add button will automatically add the next day from the first selected day and mirror the room/fee selected, drop the day down if a change is required

f) Select if there are any Discount options to be applied

g) Select if there are any **Preschool **or other subsidies to apply

h) Select the Delete all the existing permanent & casual bookings between the period in the Effect on existing bookings section


This option will remove all previous bookings for the period and create them again. Make sure you have selected all days that the child is attending, not just the new days.

i) Select Save



3. Day/s are remaining the same, however the room or fee is changing temporarily

This may occur for a few reasons:


  1. A child is transitioning rooms for a period so the room, session/fee is changing temporarily
  2. Assigning a different session/fee for all children on a particular day eg. Early Finish Fee, Excursion/Incursion Fee
Note: These changes can be managed either via the Bookings Tab for the family or for multiple children eg. via the Bookings & Attendances screen > Bookings Tab**


  1. Search for the Child/ren to update
  2. Select the Start Date for when the bookings are changing from
  3. Select the End Date the change is occurring up to
  4. Select Search
  5. Select all the Bookings
  6. Select Bulk Action
  7. Select Edit




  1. Select the Room the child is moving into (or leave as unchanged if only the Session/Fee is changing)
  2. Select the Session/Fee the child is going to be charged with (or leave as unchanged if current fee is remaining)
  3. Preschool sessions - Edit if required or leave as unchanged
  4. Select Save
Note: This option will not update the CCS enrolment as it is not a permanent booking change. If this is a permanent booking change, cancel and create the new booking as per Scenario 1 or 2.
