COVID-19 Absences $0.00 Fee Session


Overview


The current CCSS system will automatically cease a child's CCSS Enrolment after 14 weeks if they no longer attend care. With COVID-19 causing extended lockdowns and some children being unable to attend care, changes are now being made to ensure children under this criteria continue to have active CCSS enrolments.


To ensure enrolments remain active during the extended lockdown, on Monday 13 September 2021, Services Australia will record a one-off $0 session of care for enrolled children at child care services in Greater Sydney. This has now been extended for Victorian Services from Monday 18th October 2021.


For NSW - This will reset the start of the 14 week period to begin from 13 September 2021.For VIC - This will reset the start date of the 14 week period to begin from 18th October 2021.


This means that where children have not attended care since 7th June 2021, their enrolments will not cease.


The session will show in your system as **COVID-19 system update. It has no impact on a family’s Child Care Subsidy (CCS) payments.

NSW - A new Operational Status needs to be added for the following Monday 20th September 2021 **to display your **Standard Operational Times.VIC - A new Operational Status needs to be added for the following Monday 18th October 2021to display your Standard Operational Times.

What do you need to do.


  1. Change your Operational Profile for
NSW - Monday 13th September 2021
VIC - Monday 18th October 2021

only to

  • Start Time **00:01 **
  • End Time your **Services normal end **time.


Note: For CBC and VAC Services - This will only need to be done once. For OSHC Services that provide ASC, BSC & VAC you only need to change this for BSC.

  1. For each Operational time you change, you will need to create a Session/Fee to match.


a) Fee Name: COVID-19 Service Update

b) Start Time: 00:01

c) End Time: 00:30

d) Charge Type: Fixed Session Rate

e) Effective Date: NSW - 13/09/2021 & VIC - 18/10/2021

f) Normal Fee Price: $0.00

Note: If you have shared custody/split family children you will need to follow the below process for Sessions/Fees:


Managing Split Families


If you have a child who is linked to 2 Family Accounts due to Shared Custody Arrangements, the child will be unable to be placed onto the Casual booked day twice.


You will need to:


  1. Create a second $0.00 fee

a) Fee Name: COVID-19 Service Update

b) Start Time: 00:31

c) End Time: 01:00

d) Charge Type: Fixed Session Rate

e) Effective Date: NSW - 13/09/2021 & VIC - 18/10/2021

f) Normal Fee Price: $0.00



This will allow the child to be placed on:

Guardian 1 Account under the COVID-19 Service update fee from:

Start Time: 00:01

End Time: 00:30


Guardian 2 Account under the COVID-19 Service update fee from:

Start Time: 00:31

End Time: 01:00



  1. Add a Casual Day on for each child that meets the criteria of not attending since 7th June.

a) **Casual day **Type

b) Booking Date: NSW - 13/09/2021 & VIC - 18/10/2021

c) Room - Child's normal Room/Roll

d) Session: COVID-19 System Update


Note: You will need to ensure that the Session/Fee selected is the new COVID-19 Service Update. see: How to add a Casual Booking

Once this has been completed 2 things to be aware of.



1. Marking Attendances


Important Note: The Casual session that has been added under the COVID-19 Service Update for the NSW - 13th September 2021 & VIC - 18/10/2021 session/fee need to be marked as ATTENDING.


2. Operational Status


A new Operational Status needs to be added for the following NSW - Monday 20th September 2021 ** & **VIC - Monday 18th October 2021 to display your Standard Operational Times.
