Creating Bus Routes


Bus & Excursion Routes allow you to create a paper-based sign in and out option to manage your services drop-off and pick-up times for children at your service.

The Bus lists option isn't necessarily for actual bus trips, this can be walking excursions or walking children to or from school to your service.

The Bus list option allows you to capture the transit times, without having the children physically signed in or out of your Services care.


Routes could include:


  • Before School Care Service to School
  • After School Care School to Service
  • Home Pickup to Service
  • Service to Home Drop-Off
  • Walking Excursion to and from the Service
  • Vacation care excursions


There are 2 options when creating the Bus Route


  1. Manual Add option
  2. Auto- Add option


Auto-Add to Bus list option


This option is recommended for OSHC Services, as it will automatically add or remove the children based on the Session/Fee they are linked to.

if:


  • They are no longer booked in that room the route is linked to
  • Under that session/fee linked to the Route
  • Or their bookings have ended or changed
  • A Casual Day is added
Note: If a child is marked absent, they will display Absent on the Report.


Creating a Bus Route


To create a Bus Route:


  1. Select the Bookings & Attendance Screen
  2. Select the Bus & Excursions List Tab
  3. Select the Routes Tab
  4. Select the Green + Add button




Example 1 - Before School Care


The children will all be at the Service, but the Bus will drop children off at 2 Schools.


  1. If you are logged in as Enterprise/Multi-Centre view select the Service the Route will be for
  2. Add in a Route name - If multiple runs you could add in e.g. Schools for this route
  3. Start Date of when the Route will be available from
Note: End date is only required if the Bus Route is no longer required
  1. Days the Route will be available for
  2. Vehicle Details including: Vehicle Name and Rego
  3. Seating capacity of vehicle



  1. Route Type - Add any child option


This option means it will automatically include any children that are linked to the selected Session/s with recurring weekly or fortnightly patterns.

This will automatically include any Casual days that are added.


Note: This option would be beneficial for OSHC Services or CBC Services that provide BSC, ASC and VAC, where ALL Children under the selected fee will be on the Bus.


  1. Select the Session/s that will be included in the Route

eg. BSC Fee all children who have a booking with the BSC Fee will automatically be added onto the Bus Route.



  1. Column name eg. School
  2. Column type
  • Child Home Address - Automatically populates the address of the child from the Families screen
  • Service Address - Automatically populates the Address of the Service
  • Other Address - Allows a manual address to be added e.g. Address of the School for drop-off/pick-up


Note: Add as many columns in and types as you would like to populate onto your Bus List report, to assist with managing the lists.



  1. Is Group is selected to "Group" Children in this example under the below headings of "School" location
  2. Add in the Destination e.g. Name of School
  3. As Other Addresswas selected, you can add in the Address for drop-off
  4. Select + Address to add in other Destinations and addresses
  5. Select Save




Example 2 - Home Pick-up Route


The children will all be at their homes and will be collected and brought to the Service for Care. I am creating a Route just for a Monday as the children requiring home pick-up differs per day.


  1. If you are logged in as Enterprise/Multi-Centre view select the Service the Route will be for
  2. Add in a Route name - If multiple runs you could add in e.g. Schools for this route
  3. Start Date of when the Route will be available from
Note: End date is only required if the Bus Route is no longer required
  1. Days the Route will be available for
  2. Vehicle Details including: Vehicle Name and Rego
  3. Seating capacity of vehicle
  4. Route Type - Add Child to bus based on their pattern

This option will allow the Service to manually add the Child onto the Bus list as required.


Note: This option will benefit the Service when the children on the route may attend different, sessions/rooms/day. eg. Home pickup may include children from the Nursery Room and Preschool Rooms. The child may attend the Service 5 days a week BUT only require home pickup on a Monday.



  1. Add in the Column name eg. Home
  2. Select the Column Type
  • Child Home Address - Automatically populates the address of the child from the Families screen
  • Service Address - Automatically populates the Address of the Service
  • Other Address - Allows a manual address to be added e.g. Address of the School for drop-off/pick-up


Note: Add as many columns in and types as you would like to populate onto your Bus List report, to assist with managing the lists.
  1. Select **Save **
