Incidents - Manager Approving an Incident Report


This article will assist you with viewing and approving an Incident Report that has been created for a child at your Service. A Manager to Send status indicates that a Manager Role is required to approve the report before it can be sent to the family for acknowledgement.


Overview


The Medications & Incidents Screen allows you to:


  • Note Medications that have been administered to the children
  • Record guardian authorisation signatures
  • Send notifications of administered medications to guardians
  • View prior medication forms
  • Create Injury/ Incident/ Traumas & Illness records
  • Record guardian, staff & witness signatures


Viewing the Incident Report


  1. Select the Medication & Incident Screen
  2. Select the Incidents Tab



The Incident Report will display as Draft and Manager to Send



Applying Filters


You can apply filters to allow you to only view reports that require your approval.


  1. Select the Filter icon



  1. Select the Service/s name/s if you are in Enterprise Mode (multi-centre)
  2. Incident to - select the **date **you would like to view incident reports up to
  3. Acknowledgement status - select Manager to Send
  4. Select Update Search



Viewing the Incident Report


To view the Incident report prior to approving:


  1. Select the 3-dot menu. You can then either select:
  2. View or
  3. Download PDF - This option will allow you to print and sign the Incident report



Approving Incident Report


To approve the Incident report and send to the family:


  1. Select the 3-dot menu
  2. Select Edit from the drop-down menu



You can view the Incident report information from the Review screen.


  1. Select Edit on the top right-hand side



  1. Select the Parent Acknowledgement and Manager Details section



  1. Add in notes eg. Incident report approved



  1. Select how you are notifying the family
  • Sign Now - allows the guardian to sign the Incident report right now with you
  • Notify - allows you to send a notification to the guardian that there is an Incident report for them to sign via the Webt portal
Note: If you have the Guardian Portal enabled for Families then they can sign via the Web Portal see: Medication & Incident Settings
  1. If selecting Notify - select the Guardian/s being notified of the Incident report
  2. Select the Date and Time you are sending the notification
  3. Select Next



  1. Select Post
