Medications - Service Recording Medications


This article will assist you with viewing and recording medications for Children at your Service.



Overview


The Medications & Incidents Screen allows you to:


  • Note Medications that have been administered to the Children
  • Record Guardian Authorisation signatures
  • Send Notifications of administered medications to Guardians
  • View Prior Medication forms
  • Create Injury Incident/Traumas & Illness Records
  • Record, Guardian, Staff & Witness signatures


Recording a Medication to be Administered


  1. Select the Medication & Incident Screen
  2. Select the Medications Tab
  3. Select the Green + Add button



  1. If you are in Enterprise (Pink Banner) mode, select the Service name. If you are in Centre Mode your Service name will automatically be displayed.
  2. Select the name of the child from the drop-down.
  3. Select the Medication Type
  • Prescribed - You will be prompted to upload a copy of the script (mandatory field)
  • Non-Prescribed - eg. Panadol
  1. If Prescribed upload the attachment
  2. For both Prescribed and Non-Prescribed add in the Medication name
  3. Add in the Medication Expiry



  1. Add in the Dosage eg. 0.5ml
  2. Add in Mode of Medication
  • Inhalation (breathed in through mouth or nose) eg Asthma Puffer
  • Injection (Injected into Vein)
  • Nasal (given into the nose by Spray or Pump)
  • Opthalmic (given into the eye by drops, gel or ointment)
  1. Add in Dosage Time
  2. Add Dose Time- This allows you to add in multiple times for the medication to be administered eg. 8:30am , 12:30pm, 4.30pm



  1. Repeat options

Never - Select the Date the medication is to be administered



Daily - Will display as a required medication each day the child is booked to attend.


  • Select the Start and End Dates for the period the medication is to be administered for.


Note: This will only display as a required medication for the days the child is booked into attend the Service.




Custom - Allows you to select required Dates.

  • Select Add Date to add in the required dates to administer the medication.




Other Details


This section allows you to add in.


  1. Last Administered By
  2. Last Administered Date
  3. Notes



  1. Guardian Authorisation

This section allows you to add in:

  • Authorise Now - Guardian is authorising and signing the Medication information at the time it's being created.


Note: The Send Notification to Guardian can be selected if you would like to send the notification for future reference.



  • Request Authorisation


Select the Authoriser - Guardians linked to child. They will then be able to Authorise the Medication via the WEB Portal for Guardians & Cares and also via the Smile APP.

Note: Once the Guardian has authorised the medication, you will receive a Medication Authorisation notification.


  1. Select Save




The administered Medication will display on the screen as below.




Noting Administered Medication


Once Medication has been noted to be administered by the Service or by the Guardian, the Administer option will display.


Once the medicine has been administered to the child.


  1. Select the Administer button under Action/Status



  1. Select Administer
  2. Add in the Administered Time
  3. Administered by - Select the Staff member who administered the medication
  4. Signature - Staff member can sign they administered the medication



  1. Witness - Select the Staff Member who witnessed the medication being administered
  2. Signature - Staff witness can sign they witnessed the medication being administered
  3. Notes can be added if required
  4. **Send Notification to Guardian **- Tick if you would like to notify the Guardian of the administered medication
  5. Select Save



Medication screen will be updated to show the medicine has been administered.
