Lead CRM - Adding a new Lead to an Existing Enquiry


This article will assist you with adding a new Lead to an Existing Enquiry for your Service.


Overview


A Lead is per the Guardian, Child and Service/s the enquiry was for.


If a new enquiry comes through for an existing lead, this will need to be created as a NEW Lead.


Scenario 1

A Lead is displaying on the Waiting list screen under the Leads Tab that is not a Waitlist or Enrolled Status.

  • The enquiry s is for Child 1 at Centre A
  • The new enquiry is for Child 1 at Centre B


Scenario 2


A Lead is displaying on the Waiting list screen under the Leads Tab that is not a Waitlist or Enrolled Status.

  • The existing enquiry is for Child 1 at Centre A
  • The new enquiry is for Child 2 at Centre A.


To add the Lead into the Program.


Always do a Global Search to confirm the family isn't already an existing Family for a Service for your Organisation.


Select the Global Search on the top toolbar of the program, and search on the Family details.




If they are displaying as an Existing Family follow the process here: Lead CRM - New Enquiry for an Existing Family


If they are not displaying as an Existing Family


  1. Select the Waiting list screen
  2. Use the Search option to search on if they have an existing enquiry
  3. Select Search
Check to see if there are any existing leads for the same Family.



This will display if there are any existing Leads for the same Guardian or Child.


Note: If it is a new enquiry that is different to the existing enquiry, a NEW Lead will need to be create.


  1. Select the Green Add button to add a new Lead



  1. Select the Service the enquiry is regarding
  2. Select New Family
  3. Add in the Guardian details
  4. Add in the Child details
  5. Other information notes can be added



  1. Select the Care Required Date
  2. Select days of interest
  3. Select Yes or No to book a Tour
  4. Add in How did they hear about the Service
  5. Select Save



There will then be 2 leads for the same Guardian/Family, as the Lead is per Child to allow individual Offers to be sent out per child.
