Linking an Existing Guardians login to a new Organisation
Guardians and their linked email addresses can be linked to multiple Centres as well as multiple Organisations that are using Xap.
Overview
If a Family has attended or is still attending a Centre connected to another Organisation and the same email address has been added into both. The Guardian will be able to sign into the Guardian Web Portal using their existing email address and password.
This allows them to be able to switch Organisations or even Centres on the same Organisation using the 1 login.
Scenario.
Beth Barker is a the Primary Guardian for:
Existing Organisation & Centre (using Xap)
- Organisation: Little Xappers
- Centre name: Junior Discoverers
- Existing email: beth.barker@mailinator.com
New Organisation & Centre (using Xap)
- Organisation: Little Blooms
- Centre name: Polar Bears Childcare Centre
- Existing email: beth.barker@mailinator.com
Step 1:
The Guardian will initially receive their Account Activation email for Junior Discoverers.
Step 2:
The Guardian will create their Password to access that Organisation and Centre to manage their Account details
Step 3:
If a New Organisation & Centre creates them as a Family adding in the existing Email. The Guardian will automatically receive the below email.
This will occur as the system recognises an existing Guardian linked to the added email address.

Step 4:
Once the email address has been added by you at the Service, the Guardian will then see the below screen:

Step 5:
The Guardian will be returned to the Login screen and be able to switch between Child Care Organisations within the Web Portal or the Smile App.
How the Guardian can switch Organisations/Centres
- Select the current Centre name on the top right hand side

- Select Guardian Access

- They can then select the Centre name they would like to view or manage the details for.
