Extend Bookings Scheduler Errors and Actions


This article will assist you with managing Extend Booking errors that may occur. These errors can be located through the Enrolments screen in the Bookings and Attendances module.

Overview


When centres migrate to Xap or new bookings are created in the program, the system creates the first 12 months’ worth of bookings. Currently there is no process to extend these bookings further than 12 months. This needs to be automated based on a child’s enrolment booking pattern by enabling the Extend option in the Settings module.

If the Enrolments screen has extend booking errors, this means the child's bookings won't appear after the end dates. A new Booking pattern will need to be created.


See below for error messages and actions required to be taken:

Action

Rejected/cancelled bookings found after the max approved booking date.

Manually create bookings for the future period and update the enrolment pattern.

Max week/fortnight booking sessions doesn't match with the respective week/fortnight enrolment pattern.

Run the "Booking vs Enrolment Report" and review the child enrolment. 2. Identify difference between bookings and enrolment. 3. If enrolment pattern is incorrect, correct the enrolment pattern else correct the bookings. 4. Manually extend bookings from the enrolment list screen or wait for the scheduler extend bookings, OR Manually create bookings for the future period and update the enrolment pattern.
