Overview
The QLD Government
- When would this process apply?
This process will apply when the Kindy service changes their CCMS provider they must acquit the period correctly. This ensures the service
and the parents of the children receive the correct funding available.
- When can a change of CCMS occur?
- After a forecast has been lodged
- After the period ending acquittal has been lodged but before next period forecast
Scenario 1: CCMS has changed after a forecast has been lodged
OLD CCMS Provider
- The old CCMS provider will need to lodge an acquittal and include software Changed Date. This date will be the date the new CCMS is to take effect. Generally, this is expected to be a Monday.
- The acquittal will include the enrolment and attendance details for each child up to the week before the CCMS
changed.
Example:
- New CCMS is expected to take over as of Monday, 20th February.
- Therefore, software Changed Date is 20.02.2023 in the acquittal.
- Child enrolment and attendance data would be up until and including Friday, 17 March 2023.
- The acquittal of the old CCMS will not perform any financial adjustments and it is primarily used to collect the reported attendance data and adjust any enrolment changes since the forecast.
- The forecast will be used in the new CCMS acquittal calculations.
New CCMS Provider
- The new CCMS provider will lodge an acquittal at the end of the period and include software Changed Date.
- This date will be the date the new software took effect and would be the same date included in the acquittal of the old CCMS provider.
- This acquittal will include the enrolment and attendance details for each child from the software Changed Date.
- The acquittal of the new CCMS will perform a full period acquittal against the forecast using the combination of the old and the new software enrolment details.
Scenario 2: After the period ending acquittal has been lodged but before next period forecast
The next forecast should be treated as normal in the new CCMS.
FAQs
- What if a child from the forecast is no longer enrolled at the service?
- Any child included in the forecast needs to be included in the final acquittal data submitted by the new CCMS provider.
- Do I need to use the same child identifier that was used in the forecast?
- No, the system will automatically map the old and the new child IDs (using the child’s firstName and lastName and their DOB) to allow the acquittal of each child against their forecast data.
- Can I access previous forecast and acquittals lodged by the previous CCMS?
- Yes, the new CCMS can still retrieve the old forecast and results data but the child data will be the old CCMS child ID.
