Why is this Family/Child not Receiving CCS Subsidy? (How and Where to Check?)

If a child is not receiving any subsidy, there are a few places you can check. Follow the below instructions to check why a child's subsidy is not being received.

Check the Child's Enrolment/Arrangement Status

Check the child's CCSS enrolment and if it is confirmed. A CCSS enrolment must be on a confirmed status to be eligible for CCSS. The arrangement type must be a CWA.

Step 1: On the left-hand side menu, click families and select the family account you wish to look into.

Step 2: Click on the child's name at the top of the page.

Step 3: Click on the enrolments tab to view the child's enrolment/arrangement. Ensure that their arrangement type is a CWA and the status must be confirmed, otherwise they are not eligible for subsidies.

How to Check a Child's CCSS Entitlements

The child must have entitlements to receive subsidies. Please note, their entitlements must include both a CCS percentage and fortnightly hours. If either is at a zero amount, the child is not eligible for subsidy and the family needs to contact Centrelink if they believe they are eligible.

Step 1: On the left-hand side menu, click families and select the family account you wish to look into.

Step 2: Click on the payments & billing tab and check the entitlements on the right side of the page.

Check the Session Reports

Once processed, the centre can check the session reports for the child for any given week. Here you can check any amounts allocated.

Step 1: On the left-hand side menu, select bookings & attendances. Then select the session reports tab.

Step 2: Locate the submitted session report for the child and click view on the three dot menu.

Step 3: Here you can view the subsidised hours and total rebate amount. To view more, click on the completed status.

Check the CCSS Payments

You are also able to check how much CCSS the service received for each child.

Step 1: On the left-hand side menu, click CCSS interfaces and then select payments.

Step 2: You will see the list of payments by clearing number on the grid. The Xap system automatically queries CCSS payments on a regular interval. However, you have an option to query it manually if you wish.
