When would you use the Audit Trail


An audit trail provides users with a comprehensive record of actions and events within a system, enabling them to track and review changes made over time across diverse areas such as booking management, financial transactions, user settings, and more.

By accessing the audit trail, users can easily monitor who performed specific actions, what changes were made, and when they occurred.

This level of transparency enhances accountability, assists in troubleshooting, and ensures compliance with regulatory requirements across all aspects of the system's operations.

Overall, the audit trail empowers users to maintain control, detect anomalies, and safeguard the integrity of their data and operations comprehensively.


Where can I find the Audit Trail


The audit trail is located within the Settings screen.

Note: The Audit Trail is only available for client on the Xap Enterprise package.


  1. Select the Settings screen
  2. Select Audit Trail



What will the Audit Trail show




  1. Audit Trails From and & To displays the changes between the selected dates


  1. Filter - to refine audit trail information
  2. Date/time - Date and time the change was made
  3. User - Displays who made the changes
  • System - Automatic process made by Xap eg. Booking charges, Creating of Transactions
  • Username - Displays the Service user or Guardian who made the change
  1. Record name - Displays the record that was created or changed
  2. Record Type - Displays the Xap record that was changed or created eg. Charge created
  3. Tenant - Displays the Service name the change was made for
  4. Operation - Displays the type of change, Created, Updated, Deleted



Refining the Audit Trail information


The Audit trail allows you to filter on:


Record Types - currently 57 eg.

  • CCS locked period exemptions
  • Enrolment
  • Payment Account
  • Payment Transactions

Centre/s

Between selected dates

Operations

  • Created
  • Updated
  • Deleted

User(s) including Service and Guardians




Viewing Changes


To view the changes made, use the 3 dot menu next to the item and select view from the drop-down.


  1. Who made the change
  2. Date and Time the change was made
  3. Record type that was changed
  4. Fields that were changed
  5. New information
  6. Prior information


In the below example it is showing that the Guardian updated their payment account details by adding new banking information.
