Bookings & Attendance - Enrolments Screen


This article will assist you with viewing and understanding the Enrolments Screen found within the Bookings & Attendance Screen.


Overview


The Enrolments screen will assist you with viewing and correcting CCSS as well as Booking information for all Service Care Types.


What information can be found on this screen.


The information located on this screen will assist CCSS Services as well as Non-CCSS Services for Booking details.



CCSS Session Information


Unfinalised Attendances

Count of all Attendances for yesterday or older, where

  • There is an incomplete attendance, i.e. Sign In but no Sign Out
  • Child is booked in, but there is no marked attendance, or absence
  • Selecting the tile filters to the attendance screen and all incomplete attendances.


Unsubmitted Sessions Reports

  • Count of all sessions reports for the previous CCS week or older, that have not yet been submitted to CCS.
  • Selecting the tile filters to the Session Reports screen and all unsubmitted sessions.


Sessions not withdrawn

  • Count of all sessions reports that have not been withdrawn, but where session count = 0 due to all bookings for the week being deleted.


CCSS Enrolment Errors


  • Count of all enrolments that have not been submitted, but should have, or have an error.
  • Will include disputed enrolments as well.
  • Selecting the tile filters to the Enrolments listing screen showing all enrolments with an error.


Booking Information for all Care Types

Bookings don’t match Session Reports


  • Count of all cases where bookings don’t match the session reports
  • Bookings deleted, session reports not withdrawn
  • Day added/removed, session report not varied accordingly
  • Selecting the opens a new tab filtered to required records on the bookings screen.



Viewing the Enrolments screen


To view the Enrolments screen.

  1. Select the Bookings & Attendances screen from the left hand menu
  2. Select the Enrolments Tab from the top toolbar



Note: If you are in Enterprise/Multi-Centre View, you will need to select 1 Service at a time to view their information.


Information found on the Enrolments Screen


  1. Search Field - Allows you to search on a Child or Guardian
  2. Centre - Select the Centre to view the details for (will automatically default to a Centre if you are logged into a single Centre)
  3. Status - Allows you to refine the session status view.


Status

Meaning

Approved

The Government approves the enrolment that is submitted outside the timeframes or if provider is not approved

Ceased

CCS Enrolment has ended due to non- attendance, 14 weeks of continued absences or ended at a Service level if the child has left care

Confirmed

CCSS Enrolment has been confirmed by the Guardian via myGov

Disputed

Guardian has disputed the Enrolment via myGov

Disputed

Contact has disputed the booking pattern or a casual day through the My Gov Account

Manual Review

Enrolment is under review by CCSS

Not Approved

Enrolment not approved by CCSS

Pending Confirmation

Pending Guardian confirming via myGov

Pending Eligibility

CCSS Eligibility details are still being finalised by FAO

Received

CWA Enrolment with no CRN number for the Guardian/Carer or the Child

Rejected

Guardian has reviewed the enrolment and indicated the child is not enrolled at the service

Submitted

Enrolment submitted to CCSS

Unsubmitted

Enrolment has not been actively connected with CCSS, could be due to errors

Withdrawn

Entitlement has been withdrawn by CCSS

  1. Filter - Allows you to filter the information on the screen



  1. Child Name/CCS Claimant - Displays the name of the Child and Guardian linked to the Enrolment
  2. Enrolment Period/Status - Displays the CCSS Enrolment Date Range and Status with CCSS
  3. Current Pattern - Displays the current Booking pattern in the CCSS Enrolment for the child
  4. Days Displays the Days, Fees and Times the Child is booked in for the selected week
  5. Extend Booking Error - Will display the Extend Bookings Scheduler Errors and Actions that are stopping the Booking from auto-extending.



Applying Filters


If you would like to filter the information on the Enrolments screen, select the Filter icon from the top toolbar.



This will allow you to select your required filter options.

  1. Search - Allows you to search on
  • Child Name
  • Payment Account Name
  • Enrolment Id
  • Enrolment Error
  • Extend Booking Error
  1. Centre - Allows you to select the name of the Centre if you are in Enterprise/Multi-centre view
  2. Child(ren) - Allows you to select a Child or Children from the drop-down menu
  3. Payment Account(s) - Allows you to select a Guardian/Payment Account holder linked to the Enrolment and Bookings
  4. Care Types - Allows you to select a particular care type, if the selected Centre has more than 1.
  5. Arrangement Type - Allows you to select the required Arrangement types.
  • CWA
  • NoGov
  • OA
  • PEA
  • RA
  1. Arrangement Start from Date - Allows you to select a particular start date for Arrangements
  2. Arrangement Start To Date - Allows you to select the Arrangement start date up until date eg. From Date 7/11/2022 To Date 28/11/22. Allows you to capture Arrangements with future start dates
  3. Enrolment Status - Allows you to select the Enrolment status e.g. Ceased, Unsubmitted
  4. Pattern Type - Allows you to select the Booking pattern type
  • Casual - Casual sessions only
  • NoSessions - no current bookings
  • Recurring - Weekly or Fortnightly Bookings
  • Recurring and Casual - Weekly or Fortnightly Bookings and Casual as an option
  1. Enrolment with Following Days - Allows you to select children with bookings on particular day/s
  2. CWA not signed - Allows you to filter on children who have or haven't had the CWA Agreement signed by a Guardian via the Portal or App.
  3. Has Extend Booking Error - Allows you to only view the Children who will need a correction of their Bookings as the Auto-extend bookings is unable to run
  4. Select Update Search when the required filter options have been selected.



Correcting Errors


Extend Booking Errors


If the Enrolments screen has extend booking errors, this means the child's bookings won't appear after the end dates. A new Booking pattern will need to be created.

CCSS Enrolment and Session Errors


If the Enrolments screen has errors for Unsubmitted Sessions or Enrolments, they will need to be resolved to allow the sessions/enrolments to be submitted successfully.
