Bookings & Attendances - Session Subsidies Screen


This article will assist you with viewing CCSS Session report information.


Overview


The Session Subsidy Screen allows you to view further session information that has been finalised from CCSS.


This screen provides you with the ability to search, filter & view subsidy entitlement from a central place.

If you find certain information is not up to date, you can query CCSS and view updated information from the same screen.


Viewing the Session Subsidies Screen.


To view the Screen:


  1. Select the Bookings & Attendances screen
  2. Select the Session Subsidy tab



Session Subsidies Screen Overview


Quick Filter options

These options allow you to apply "Quick" Filter options including:

  • Search - Search on the name of a particular Child or Account
  • Centres - If you are in Enterprise (Multi-Centre) View you can select particular Centre/s from the drop-down
  • Session Report Start Date - Filter the Start Date to view session reports from
  • Session Report End Date - Set the End Date to view session reports from




Advanced Filters

This option allows you to further refine your Session Subsidies screen.


  1. Select the Filter Icon




  1. Search - Search on the name of a particular Child or Account
  2. Status - Refine your Session status view:

  1. Centres - If you are in Enterprise (Multi-Centre) View you can select particular Centre/s from the drop-down
  2. Care Type/Service - If you are in Enterprise (Multi-Centre) View you can select particular Care types for your Organisation from the drop-down
  3. Session Report Start Date - Filter the Start Date to view session reports from
  4. Session Report End Date - Set the End Date to view session reports from
  5. Total Amount Charged - Filter the Min/Max Total Booking Charges
  6. Total Rebate - Filter the Min/Max Total CCS/ACCS Rebate Payments
  7. No. of Session Counts - Filter the Amount of Sessions per week to report for
  8. Update Search - Applies the selected Filters




Session Subsidies Main Screen Overview


  1. Weekending - Displays the Sunday Date the Session was submitted for
  2. Child name - Displays the name of the Child and CCSS Enrolment ID
  3. Payment Account - CCS Claimant
  4. Init Submission Date - Displays the Date the Session was Initially submitted to CCSS for processing
  5. Status - Current Status of the Sessions with CCSS
  6. Total Fee - Displays the Total Fee that has been charged for all sessions for that child/for that week
  7. Entl Amt - Displays the Total $ amount of CCS/ACCS received
  8. Pymt - If selected will display the payment advise information for the selected Child/Week
  9. SC - Displays total days of attendance for each week
  10. Abs - Displays Total amount of Absences paid
  11. Total Hrs - Displays the Total amount of paid CCS hours
  12. Sub Hrs - Displays the Total Amount of Subsidised hours
  13. Pre Hrs - Displays Total Amount of Preschool hours
  14. Error - Displays any CCS Session Errors
  15. Centre - Displays the names of the Centres the sessions were submitted for



Viewing Individual Session Information


To view further details of a selected session:

Select the drop down arrow next to the session. This will provide you a more details overview of the submitted session.

  1. Date - Each of the Dates the child attended for the selected week
  2. Session Times - Displays the Fee Start & End Times
  3. Total Hrs - Displays the Total Hours for each day
  4. Total Fee - Displays the Total Booking Charge per day
  5. Hrly Charge - Displays the Hourly Fee breakdown
  6. Is Abs? - Displays if an attendance was marked as Absent
  7. Processed Date Time - Display the session submission Date/Time
  8. CCS Type - Displays if the session was CCS or ACCS
  9. Amount - Displays the CCS/ACCS Rebate amount paid
  10. Subs Hrs - Displays the amount of hours paid
  11. Recipient - Displays if the Recipient was *Service or *Individual (paid to the Family)
  12. Event ID - Displays the corresponding Event ID where absences were paid after notice of event was submitted

eg.

  • Temporary Centre due to Natural Disaster - Local Emergencies
  • Ministers Rules - for example Special Purpose Absences (COVID)

  1. Reason - Displays any reason CCS/ACCS wasn't paid



Viewing Payment details

You can view the payment details for a selected week by:

  1. Select the Payment icon



The CCS Payment List screen will display the below information
  1. Total Weekly Entitlement paid
  2. Total Received Payment amount
  3. Payment Date
  4. Clearing Document number
  5. Amount - Dollar amount of CCS paid
  6. Is Settled
  • Will display YESif the CCS payment settled onto the Family Account
  • Will display NO if the CCS payment has not been settled onto the Family Account



Reverse CCS Estimation


This option allows you to reverse the CCS estimation, if the CCS is estimated at the time of booking fee estimation/invoice generation, but no CCS is paid once the session report/subsidies was processed.


This option can be performed for individual session subsidy records where:


  • Session Subsidy status is “Processed”
  • Weekly Entitlement Amount is $0.00


To reverse the CCS Estimation:


  1. Select the 3 Dot icon next to the selected session/child
  2. Select Reverse CCS Estimation



Querying a Session report


This option allows you to manually query a session report.


  1. Select the 3 Dot icon next to the selected session/child
  2. Select Query Session Subsidy



  1. Displays the Query By option - Enrolment or Last Updated Date
  2. Child - Displays the name of the selected child
  3. Enrolment - Displays the CCSS Enrolment ID
  4. Start Date - Select the Start date to query sessions from
  5. End Date - Select the End date to query sessions up to
  6. Query Session Subsidy - Select to apply the selected query options.



Bulk Action Options


The Bulk Action option allow you to:

  • Bulk Export Session Subsidy screen information into a report format
  • Bulk Query


Session Subsidy Report


To export the report information.


  1. Select Bulk Action
  2. Select Export to Excel


  1. Centre(s) - Select the Centre/s if you are in Enterprise/Multi-Centre view
  2. Session Report Start Date - Filter the Start Date to view session reports from.
  3. Session Report End Date - Set the End Date to view session reports from.
  4. Status - Select your Session statuses.
  5. Care Type/Service - If you are in Enterprise (Multi-Centre) View you can select particular Care types for your Organisation from the drop-down
  6. Child - Select the name/s of a particular Child/ren to include on the report.
  7. Enrolment - Select the Enrolment ID of the selected Child (Only required if Individual child is selected)
  8. Session Counts - Select the Amount of Sessions per week to report for.
  9. Amount Charged - Select the Min/Max Total Booking Charges
  10. Total Rebate - Select the Min/Max Total CCS/ACCS Rebate Payments
  11. Select Export

Bulk Query Session Subsidies


  1. Select Bulk Action
  2. Select Query Session Subsidies


  1. *Centre - Select the Centre name if you are in Enterprise (Multi-centre) view.
  2. Care Type/Service - Select the Care type if the Centre has more than 1.
  3. Query By - Select your Query by option.
  4. Start Date - Select the Start Date to query session reports from.
  5. End Date - Select the End Date to query session reports up to.
  6. Select Query Session Subsidies
