Creating and Managing Bus & Excursion Lists


Overview


The Bus & Excursion lists module, allows you to create a list of children and include Sign in/out options for a paper-based attendance sheet.

Bus & Excursion Lists will either be automatically populated from a Route or children will need to be manually added onto the List depending on the settings.

Viewing Lists


To view a List


  1. Select the Bookings & Attendance Screen
  2. Select the Bus & Excursions List Tab



  1. Select the Buses Tab
  2. Select the Bus List to manage
Note: you will need to select the Service name if in Enterprise View (Pink Banner)
  1. Select the Date to manage
Note: Only the Routes created for this Service will be displayed



Auto-Populate Bus Route Management


If the Route has been created with the Add any child option selected, this option means it will automatically include any children that are linked to the selected Session/s with recurring weekly or fortnightly patterns. It will also automatically include any Casual days that are added.


When the Route is first created you will need to Assign the child/ren to their destination.


  1. Select the Route eg. Before School
All Children who are booked under the selected Sessions will be displayed, however their Destination hasn't been selected.


  1. Select the Date
  2. Select the child/ren
  3. Select Bulk Action
  4. Select Assign Destination


Note: If a destination is not assigned for all children on the route then you will not be able to print the report.



  1. Select the "School" for the selected child/ren
  2. Select Save



Repeat the process of assigning the destination for the other child/ren.


Manually Populate Bus Route Management


If the Route has been created with the Add Child to bus based on their pattern option.

This option will allow the Service to manually add the Child onto the Bus list as required.


To add children to the Route.

  1. Select the Buses Tab
  2. Select the Green + Add button



In this example, we are selecting a Home Pick-up to Service Route


  1. Select the Route
  2. Select the Child/ren
  3. Select Start Date
  4. Select Save



Manual Populate Bus Route - Advanced Filter


  1. Select the Buses Tab
  2. Select the Green + Add button



  1. Select the Route
  2. Select Advance Search
  3. Select Booking From Date
  4. Select Booking To Date
  5. Filter on Room (if required)
  6. Filter on Sessions (if required)
  7. Filter on Tags (if required)
  8. Select Search



Printing a Bus List


To print a Bus List:


  1. Select the Buses Tab
  2. Select the Bulk Action button
  3. Select Print Bus List



  1. Select the Centre if you are in Enterprise view
  2. Select the Route
  3. Select the Date
  4. Select if you would like the display address on the report as well
  5. Select Download



The report will display similar to below:

If you receive the error of There are children without destination. Please add destination for these children. As below image displays.

You will need to follow the step above of How to assign a destination.
