How to Add a Third Party Payer


In Xap, you will be able to add a third party payer in a family account. This is for instances where a third party agrees to pay for the child's fees. Examples include: the college that the guardian is studying at agrees to pay for the full child care fees or in the case of a child at risk, the Department of Child Protection.


Note: The 3rd party company will receive an email of the new invoice automatically, however they will be unable to view it from the email due security changes.


For the 3rd party to view the invoice they will need to either.



  • Be added as a Guardian - Guardian

Step 1: Once you have logged on, click on families on the left-hand menu bar.



Step 2: In the family tab, select the relevant family.



Note: You can use the search filters to easily locate the relevant family.


Step 3: Click the green + sign in the payment accounts box.



Step 4: In the pop-out box, select third party company.



Step 5: Next enter in the organisation details.



Step 6: Select a payment method and any other details.



Note: if you are selecting direct debit, you will need to enter in the direct debit details of the third party payer


**Step 7: ** Once complete, select save.
