Lead CRM - New Enquiry for an Existing Family


This article will assist you with adding a new Lead to an Existing Family for your Service.


Overview


A Lead is per the Guardian, Child and Service/s the enquiry was for.


If a new enquiry comes through for an existing Family, this will need to be created as a NEW Lead.


Scenario 1


An Existing Family has contacted the Service directly and would like to add a new child onto your Waitlist.

  • The existing child attends Centre A
  • The new enquiry is for Child 2 at Centre A


Scenario 2


An Existing Family has contacted the Service directly and would like to enquire about attending a different Service for your Organisation.


  • The existing child attends Centre A
  • The new enquiry is for the existing Child ** at **Centre B for the same Company


To add the Lead into the Program.


Always do a Global Search to confirm the family isn't already an existing Family for a Service for your Organisation.


Select the **Global Search **on the top toolbar of the program, and search on the Family details.

You can also run a search on the Waiting List Screen to see if they have an existing Lead/Enquiry.


  1. Select the Waiting list screen
  2. Use the Search option to search on if they have an existing enquiry
  3. Select Search



This will display if there are any existing Leads for the same Guardian or Child.


If they are not displaying as an Existing Family please follow the process here: Lead CRM - Adding a new Lead to an Existing Enquiry (New Family)


If they are displaying as an Existing Family:


  1. Select the Waiting list screen
  2. Select the Green + Add button to add a new Lead




Scenario 1 - New Child Existing Family


  1. Select the Service for the new child
  2. Select Existing Family
  3. Search on the Existing Family name
  4. Add in the new Child Details
  5. Other Information can be added if required
  6. Add in required care start date
  7. Select Days of interest
  8. Add in details around flexibility of care or days



  1. Select if they would like to book a Tour

  1. Add in Marketing information
  2. Select Save


Scenario 2 - Existing Child, Existing Family - New Service/Same Organisation


  1. Select the new Service for the existing child
  2. Select New Family as it is a NEW Family for the NEW Service
  3. Search on the Existing Guardian name, the information will pre-populate
  4. Search on Existing Child, the information will pre-populate
  5. Other Information can be added if required



  1. Add in required care start date
  2. Select Days of interest
  3. Add in details around flexibility of care or days
  4. Select if they would like to book a Tour
