QLD Kindergarten FAQ's


This article will assist you with some common QLD Kindergarten queries.



Q1 How do I manage Public Holidays?

A. To report the correct information on Forecast & Acquittals, public holidays will need to be marked as Absent and left on the rolls.

  • If your fees are calculated (Term Based Fees) not including these days, the public holiday dates will still need to be left on the rolls to populate the forecast and acquittal information correctly.
  • If the public holidays are removed off of the roll, this reports 0 hrs of attendance for the child or that date and may possibly mark the child as ineligible for funding for that period.


Q2. What does FTE mean in the results?

A. This means Full Time Equivalent.

For example:

  • A child has attended the minimum 15hrs per week for the quarter, this is 1 FTE. (10 week period)
  • For each week that the child does not meet the minimum requirements, then this is reduced by .1 FTE.


Q3. How do i calculate standard subsidy?

Q4. How do I use the effective from dates when flagging entitlement changes?

A. The effective dates indicated have an affect on the paid subsidy.

Example:


  • The child was forecast as not being eligible for ACCS, this changed during the period.
  • The acquittal will show the date the ACCS was eligible from affecting how much is paid/reconciled to the service.



Q5. Do I have to add in daily Gap for ACCS indicator?

A. YES, this is to assist with managing payment information based on the leftover GAP the Guardian is liable to pay.


Q6. How do I setup my QLD Kindergarten API's if I have multiple Services?

A. You may have received the same Credentials for all of your Services, however you will have a different Agreement number per Service.


Q7. How do I create a Forecast?

A. Forecasts can be created by following the process here: QLD Kindergarten Funding - Submitting a Forecast

  • CBC - Forecast every Quarter (3 monthly)
  • Sessional Kindergartens - Forecast every Semester (6 monthly)


Q7. How do I create an Acquittal?

A. Acquittals can be created by following the process here: QLD Kindergarten Funding - Submitting an Acquittal

  • CBC - Acquit at the end of every Quarter (3 monthly)
  • Sessional Kindergartens - - Acquit at the end of every Quarter (3 monthly)


Q8. How do I view QLD Results?

A. Results for Acquittals/Forecasts can be viewed by following the process here: QLD Kindergarten Funding - QGrants Acquittal Results (LDC)


Q9. What do I do if my kindy program details are changing?

A. If your Days or times are changing during the quarter please contact our Support Team to assist you with this process.


Q10. What if I have an approved program that hasn't been running due to eg. No Teacher (qualified)

A. The Forecast will have been created with all programs that were approved via QGrants. The Acquittal will need to be submitted for all of these approved programs to report correctly. Thh program that wasn't running will need to be flagged with this information.


Q11. What if I have 2 approved programs but ran 3 programs?

A. You will need to submit the forecasts & acquittals for this period to QGrants, you will need to contact QGrants in relation to the additional program as you are currently only able to submit the amount of programs that you initially registered with them.



Q12. What if I have a change in Teachers through the Quarter?

A. The program will need to be edited to update this information.

  • Add the new Teacher to the program.
  • Set their From date and qualification status.
  • Add a To date for the other teacher when they finished at the service. (if applicable)


Q13. What if my Teacher leaves during the quarter and I am unable to replace them.

A. The program will need to be edited to update this information.

  • Add a To date for the teacher when they finished at the service.
  • Pause the program from this to date.


Q14. What if a child who was included in the forecast never attended.

A. If a child was included as a part of the forecast, you will need to ensure:

  • They are left on the forecast (that was originally submitted)
  • Left on the Acquittal for the period they were included on the forecast.
  • Set the child for the week/s they weren't attending as Child ineligible
  • End the bookings of the child.


Q15. How do I manage a child leaving during the quarter?

A. If a child leaves during the program period, you will need to ensure:

  • They are left on the forecast (that was originally submitted)
  • Left on the Acquittal for the period they were included on the forecast.
  • Set the child for the week/s they weren't attending as Child ineligible
  • End the bookings of the child.


Q16. How do I claim a new child who wasn't a part of the Forecast?

A. You will need to:

  • Add the child/ren to the program they will be attending.
  • Mark attendances as per normal process.
  • The child/ren will automatically be a part of the acquittal and subsidy payments adjusted from QGrants.


Q17. What if I registered programs with QGrants but they haven't run?

The information will still need to be submitted to QGrants for the periods.

The program will need to be paused for the each period that the program was not running.

This will remove the information for bookings & attendances for the children but still allow the forecast/acquittals to QGrants that are required.
