Splitting a Family Account - eg. Shared Custody


This article will assist you with best practices to separate a Family if the Guardians have separated.


Overview


Families circumstances may change overtime, and the Service will need to manage these changes within the program.


Scenarios


Some scenarios where you may need to split a Family information are:


Scenario 1:

Child commenced care with both Guardians together. Guardians then separated.

  • Guardian 1 is linked to the existing Account as the CCS entitled person.
  • Guardian 2 is not claiming CCS



Scenario 2

Child commenced care with both Guardians together. Guardians then separated.

  • Guardian 1 is linked to the existing Account as the CCS entitled person.
  • Guardian 2 is now also wanting to claim CCS and is paying only for certain days of care.
  • Create a NEW Account for Guardian 2


When choosing the process keep in mind the permissions for Guardians and Nominees.


Note: If the Guardian 2 (Non CCS holder Guardian) is no longer required to have access to the noted Guardian permissions, they will need to be created as a Nominee on the Account. This will still allow them to be an Emergency Contact/Relation to the child but not be able to view Financial information for the Account.



Scenario 1


Child commenced care with both Guardians together. Guardians then separated.

  • Guardian 1 is linked to the existing Account as the CCS entitled person.
  • Guardian 2 is not claiming CCS



  1. Search on the Family name
  2. Select the Family Summary screen
  3. Select the 3 dot menu for Guardian 2
  4. Select Archive



  1. Select the Green + Add button and create the archived Guardian as a Nominee with the required permissions.

Note: The Guardian can also manage these changes via the WEB Portal. see: Creating and Managing an Authorised Nominee


Recommended process is to archive Guardian 2 and re-create them as a Nominee.


The Archived Guardian will now be displayed as an Authorised Nominee on the Account, but won't have access to the Financial details etc. If an email address has been added, they will also receive an email with their Kiosk PIN.






Scenario 2

Child commenced care with both Guardians together. Guardians then separated.


Important don't change the CCS Claimant on the existing account. Create a NEW Account for the new CCS Claimant.


  • Guardian 1 is linked to the existing Account as the CCS entitled person.
  • Guardian 2 is claiming CCS and is paying only for certain days of care.


Phase 1


Repeat steps as per Scenario 1

  1. Archive Guardian 2
  2. Create Guardian 2 as a Nominee with full/authorised permissions


Managing Bookings on Existing Account


  1. Add new bookings on Guardian 1’s Account for the days they are liable to pay fees for

Phase 2

  1. Create a new Family/Account for Guardian 2
To assist you with creating a new Family see: How to add a new Family
  1. Add Guardian 2's details
Note: To add all the details of the archived Guardian use the option of: Search Existing Guardian or Add new Guardian option
  1. Add the child again onto the new Account, use the option of: Search existing child or add new child option
Note: This will also carry over any TAGS against the child, as well as any Attachments eg. Asthma Action plans




  1. Create Bookings for the child on Guardian 2’s Account for the days they are liable to pay fees for see: How to add Bookings
Note: Only add in the days that this Guardian/Account is liable to pay the fees for.

  1. Create a CCSS enrolment linked to Guardian 2’s details
Note: This will automatically be created when the booking pattern is created.
  1. Create **Guardian 1 **as a Nominee on Guardian 2’s Account see: Adding a Nominee
