Booking Report - Booking Management & Planner Dashboard


The Booking Management and Planner Dashboard streamlines reporting by consolidating multiple reports into a single view, adding relevant metrics and pages aligned to current use cases, and enhancing usability to support faster, more efficient workflows.


All reports are available via the Xap Analytics screen. For full details on managing and filtering reports via Xap Analytics see: Xap Analytics screen overview.


By applying filters on each of the screens, this will allow you to:


  • view all Bookings in a service from a single screen, to take necessary actions to maintain future occupancy numbers.
  • view the date on which the booking are ending in a service to take necessary actions to maintain future occupancy numbers.
  • identify bookings that are ending prematurely so that I can correct them so the system can extend them.
  • identify Children that are ending care in the next 4 weeks so that I can extend their care or fill the vacancy.
  • drill down to Regions and/or Centre so that I can take necessary actions to maintain future occupancy numbers
  • Resolve booking extender errors for children.


Filters allow you to refine the data, and extract into a report.


What information is on the report


The report is broken into 5 parts:

  1. Planning Tool
  2. Rooms and Region
  3. Bookings and Revenue
  4. Extend Bookings Report
  5. Child Booking Comparison by Period Report


What information is on each Tab


  1. Planning Tool

The planning tool tab is an overview of bookings & revenue for the selected region and or centre/s.

  • Bookings for Regions and/or Centre
  • Revenue
  • Extend Bookings errors
  • View graphs regarding changes to children, bookings and revenue
Note: You can filter by region or centre using the toggles at the top or hover your cursor over any of the graphs to refine the details at a set point.



  1. Rooms and Region

The Rooms and Region tab provides you with a further breakdown of bookings in graph form for the selected region and or centre/s.

Filters can then be applied, and a report extracted to filter the information further.

  • Total revenue across selected rooms/centres/regions.
  • Booking types - Weekly, Fortnightly or Casual
  • Actual bookings per week per room
  • Booking across a region



  1. Bookings and Revenue


The Bookings and Revenue tab provides you with a further breakdown of bookings and revenue details in graph form for the selected region and or centre/s including:

  1. Report details to include e.g. Grouping by Centres, Transaction types to include
  2. View a breakdown of each centre, room/rolls per month
  3. Total bookings & revenue per centre for selected date range

Filters can then be applied, and a report extracted to filter the information further.

  1. Extend Bookings Report

The Extend Bookings Report tab provides you with children who have booking extender errors.

These bookings will need to be corrected to ensure the child and their bookings remain on the rolls.

  1. Child Booking Comparison by Period



This report is to provide you with booking comparisons for selected date ranges to understand booking revenue changes.

Total amount of bookings for period A date range

Period A - Children

Total amount of children for period A date range.

Period B Bookings

Total amount of bookings for period B date range

Period B - Children

Total amount of children for period B date range.


Section 3

Number of children not returning for period B date range

Reduced

Number of children with reduced bookings for period B date range

New

Number of children who commenced care for period B date range not booked in period A


Section 4


This section includes a breakdown of the children included in the KPI's.

Columns to Note:

Heading

Description

Period A Bookings

Total number of bookings for selected child for period A

Period B Bookings

Total number of bookings for selected child for period B

Difference

Differing Day Count from period A to period B. eg. Status = Increased, Period A Count = 10, Period B Count = 14

Status

Increased = Child's booked days have increased from period A to period B, Reduced = Child's booked days have decreased from Period A to Period B, Not Returning = Child's bookings have ceased from Period A to Period B




Additional Actions


Right clicking any column in a row provides navigation options to the Family Bookings, Child Enrolment, and Payment Account screens, each opening in a new tab.
