Booking Report - Booking Management & Planner Dashboard


This article will assist you with viewing and managing the Booking Management & Planner Dashboard report.


What information is on the report


The report is broken into 4 parts:

  1. Planning Tool
  2. Rooms and Region
  3. Bookings and Revenue
  4. Extend Bookings Report


What information is on each Tab


  1. Planning Tool

The planning tool tab is an overview of bookings & revenue for the selected region and or centre/s.

  • Bookings for Regions and/or Centre
  • Revenue
  • Extend Bookings errors
  • View graphs regarding changes to children, bookings and revenue
Note: You can filter by region or centre using the toggles at the top or hover your cursor over any of the graphs to refine the details at a set point.



  1. Rooms and Region

The Rooms and Region tab provides you with a further breakdown of bookings in graph form for the selected region and or centre/s.

Filters can then be applied, and a report extracted to filter the information further.

  • Total revenue across selected rooms/centres/regions.
  • Booking types - Weekly, Fortnightly or Casual
  • Actual bookings per week per room
  • Booking across a region


  1. Bookings and Revenue

The Bookings and Revenue tab provides you with a further breakdown of bookings and revenue details in graph form for the selected region and or centre/s including:

  • Total bookings & revenue per centre for selected date range
  • View a breakdown of each centre per month

Filters can then be applied, and a report extracted to filter the information further.

  1. Extend Bookings Report

The Extend Bookings Report tab provides you with children who have booking extender errors.

These bookings will need to be corrected to ensure the child and their bookings remain on the rolls.

How do I use this report?


All reports are available via the Xap Analytics screen.


By applying filters on each of the screens, this will allow you to:


  • view all Bookings in a service from a single screen, to take necessary actions to maintain future occupancy numbers.
  • view the date on which the booking are ending in a service to take necessary actions to maintain future occupancy numbers.
  • identify bookings that are ending prematurely so that I can correct them so the system can extend them.
  • identify Children that are ending care in the next 4 weeks so that I can extend their care or fill the vacancy.
  • drill down to Regions and/or Centre so that I can take necessary actions to maintain future occupancy numbers
  • Resolve booking extender errors for children.


Filters allow you to refine the data, and extract into a report.
