Enrolment Pattern vs Booking Report


This article will assist you with viewing Enrolment Pattern details vs the Bookings Screen details on a Report.



What Information is on the Report?


This report will compare the last week of the bookings (two weeks in the case of fortnightly bookings) against the corresponding booking pattern in the enrolment for that time period.


This report will run at a centre level. In Enterprise access, centre selection is a must. This will only display data where mismatch is there between existing pattern and the bookings.

False records means that:

  • The Bookings for the child have been Edited and no longer match the Enrolment details. This could be room, day or fee changes.
  • The Bookings for the child have been Deleted and no longer match the Enrolment details.


If a child's booking is changing permanently then a NEW booking is required to be created.

How would I use this report?


The purpose of this report is to allow Services to compare the last week of the bookings (two weeks in the case of fortnightly bookings) against the corresponding booking pattern in the enrolment for that time period.


This will then allow Services to identify and update incorrect enrolment patterns to ensure that all attendances continue.

Note: This is for all care types not just CCSS Approved Services.



What can I do with the information on the Report?


By using the FALSE record options, you can identify incorrect booking pattern information.

False records under the below columns, means that unless the booking pattern is re-created, the attendances for the child will stop appearing as of the Enrolment Pattern End Date.

  • Days Match
  • Rooms Match
  • Sessions Match


Note: FALSE for any of these columns means a new booking needs to be created.


Scenario 1


A child moved from the Toddlers Room to the Junior Kindy Room.

The Toddlers Rooms bookings were Edited and the Junior Kindy Room and Session/Fee were selected.

Booking mismatch - will no longer match the information in the Enrolment - bookings will not automatically extend


Scenario 2


A child is attending ASC, the Days, Room and Session/Fee remain the same.

The ASC bookings were edited and a Staff Discounted Fee was applied.


Booking mismatch - will no longer match the information in the Enrolment - bookings will not automatically extend


Scenario 3


A child is attending BSC, 5 Days a week and have now dropped the Friday.

The BSC bookings for Fridays were deleted, so only the Mon - Thu booked days display.


Booking mismatch - will no longer match the information in the Enrolment - bookings will not automatically extend


Viewing the Report


To view the report:


  1. Select the Reports Screen
  2. Under the Bookings report heading select Enrolment Pattern vs Booking Report



The report will display ALL children at the Service.

Using the 3 Columns Days Match, Rooms Match, Sessions Match to identify the False records that require correction.



Exporting the Report


Note: This report can be exported only for a one Centre at a given time.


To export the report.


  1. Select the Download Excel option on the right hand side
  2. Note: You can prefilter the information you would like on the report by selecting the Filter button




Report view


The report will display:

  1. Centre name
  2. Family name
  3. Child Name
  4. Enrolment ID - Will display Blank for Kinder/Preschool Services
  5. Payment Account name
  6. Days Match
  • True - No action required
  • False - New Booking needs to be created
  1. Rooms Match
  • True - No action required
  • False - New Booking needs to be created
  1. Sessions Match
  • True - No action required
  • False - New Booking needs to be created
  1. Care Type - Displays the care type the booking is linked to
  2. Arrangement Type - Displays the CCSS Arrangement type or NoGov for Kindy/Preschools
  3. Pattern Type - Displays Repeat Weekly or Repeat Fortnightly
  4. Enrolment Pattern Start Date - Displays the Start date the enrolment data is taken from to make the comparison to the booking data
  5. Enrolment Pattern End Date - Displays the End date the enrolment data is taken from to make the comparison to the booking data
  6. Reference Booking Week Start - Displays the start date of the last week or fortnight depending on their enrolment, of bookings that are currently in the system for that enrolment
  7. Reference Booking Week End - Displays the start date of the last week or fortnight depending on their enrolment, of bookings that are currently in the system for that enrolment
  8. OrganisationId - Displays the Organisation ID number
  9. Organisation name - Displays the Organisation name
  10. Centre ID - Displays the Centre ID number
  11. ProviderID - Displays the Provider ID number
  12. Provider - Displays the name of the Provider
  13. FamilyID - Displays the Family ID number
  14. ChildID - Displays the Child ID number
