Config Reports - Fee Configuration


This article will assist you with viewing and understanding the Room Configurations report.


When would I use this report?


This report can be used for:


  • Viewing Session names and information across multiple Centres.
  • Viewing Session types eg. Fixed Rates, Sliding scales etc.
  • Filtering by Provider/Centres for multi-centre Organisations.
  • Viewing ID numbers for external reporting.
  • Viewing set Utilisations for Sessions/fees.
  • Viewing charge rates for Normal, Absent and Delta (Casual rate) if applicable.
  • Filtering by Session Reference Codes if they have been added


The report is broken into 2 parts:

  1. Current Fee information
  2. Fee History



How would I use the information on the report?



Section 1. Current Fees


This part of the report will provide you with the current session/fee configuration setting details that have been set for your Services. and will be beneficial for Organisations with multiple services.


All reports are available via the Xap Analytics screen. For full details on managing and filtering reports via Xap Analytics see: Xap Analytics screen overview.


Important columns to note:


Heading

Description

Session

Name of the session

Billing Method

Indicates Session type eg. Booking Based, Term Based

Charge Frequency

Displays for Booking based fee types only - Per Session or Per Hour

Charge Type

Displays for Booking based fee types only - Fixed Rate, By Age Group or By Sliding Scale

Sliding Scale Type

Indicates Daily or Weekly type for sliding scale set session

Effective From

Displays Session Start Date

Effective To Date

Indicates End date of session

Session Available on

Displays the day/s the fee is available to be applied to bookings

Session Time

Displays the start and end times of the session

Utilisation Percentage

Displays the utilisation percentage that has been set per fee - defaults to 100% (100% = 1 booked place)

Normal Charge

Displays the total fee charged for an attendance (Weekly/Fortnightly booking)

Absence Charge

Displays the total fee charged for an absence (Weekly/Fortnightly booking)

Delta Charge

Displays the additional amount to be charged for a Casual day eg. Normal Fee = $100.00, Casual amount = $105.00, Delta amount $5.00

Term Name

Displays the names for a Term based fee

Reference Code

Displays the reference code that has been configured for the fee



Section 2. Fee History



This part of the report will provide you with the fee history of the changes for session/fee details that have been set for your Services. and will be beneficial for Organisations with multiple services.


The columns on the Fee History tab are the same as the Current Fees Tab, and will display all changes to sessions including price, name changes, times etc.
