Xap Analytics


This article will provide you with an overview of viewing the reports within the Analytics screen and how to manage the report information.


Xap Analytics is Xap’s advanced reporting and analytics module designed to give greater flexibility to you as a user in understanding your business.

Analytics will provide insights and flexibility in visualising data directly from the Xap application without having to export to excel (although this option is still available). Where applicable we are also able to visualise reports in graphs and other forms to identify quickly key measures. The purpose of this article is to show you the key navigational tools available within a report screen.


The reports are the same reports you were using in the prior reports screen, the report headings are now displayed alphabetically to make it easier for you to locate your reports.

There are also additional filters on the screen to allow you to refine the displayed report information.

Navigating around the Analytics screen


Navigating around a report is easy. There are some key elements of the page to understand and then you have the ability to manipulate the report to suit your needs. Below are the key elements:


  1. Key report filters – Provides the ability to easily filter key metrics on the report based on the field type
  2. Report description – Where required we will provide a brief description of the report and it’s application to your service/s
  3. Report Summary – where applicable we will provide summary counts of the report to enable easy understanding of key totals
  4. Report details – The report itself will display with all available columns. Key items here include:
  • Ability to move columns around dynamically within the report -simply drag and drop the column to the desired location
  • Ability to change filters within a column – click on the right of the column heading to expose additional options to filter, sort, rename and other column options
Note – currently you are unable to save changes within the report and it will revert back to the standard format on next load
  1. Exporting a report – Hover over the Report details and you will see some additional icon options on the right. Click on the 3 dots and you will be provided with the option to export.

If you would like to filter additional information for the report.

  1. Hover on the right-hand side of the report
  2. Select the filter icon
  3. Select the + button
  4. Select the column you would like to apply filters too.
  5. Filter columns e.g. credit/debit balances or hide/rename columns




Managing columns


With the flexibility of Xap Analytics, not only can you remove columns, but you can also hide and even rename a column for export.


  1. Hover on the report and select the element icon
  2. Manage the columns as required, this includes hiding, adding or re-ordering.



Xap Analytics provides the ability to reorder the columns using drag and drop.




Pivoting the data


Pivoting data in Xap Analytics is very straightforward. In the example below, the user only had to select their data, drag the Family, Debit and Credit columns to the grouping. Require a custom calculation to get the balance, easy, add it to the grouping. Xap Analytics did the rest, creating the pivot table shown:

In the example below, the user just drags the column name to be grouped to the Grouping section, and the table is immediately grouped, as shown below in the output to the right.


Booking Marking reports


Once a report has been pivoted, you can bookmark the changes

  1. Select Bookmark icon
  2. Select Save as new view

  1. Add in the name of your custom report
  2. Tick Set as my default view, if you would like to view your report as the standard view each time
  3. Select Save


Common columns on Xap Analytics reports



Common columns that you will see on all the Xap analytics reports are:

Heading

Description

Centre

Filter option to refine the report information in enterprise mode

Family

Name of the Child/balance etc. relates to report information

Child/ren

First and last name of the children the report information relates to

Status

Status of Guardian, Payment Account, Child, Family etc. eg. Active, Inactive

Reference ID's


Additional columns that are found on the Xap analytic reports will allow you to filter on specific details.


The reference ID's can be used to link report exports together. eg Vlookup in Excel. Guardian, Family & Child ID's will be the same across the same Organisation if they have been activated into another centre as "existing".

Name of the Organisation the information is linked to

Provider

Name of the Provider the information is linked to

Organisation ID

Provides a unique ID reference number for a specific Organisation

Provider ID

Provides a unique ID reference number for a specific Provider

Centre ID

Provides a unique ID reference number for a specific Centre

Family ID

Provides a unique ID reference number for a specific Family

Guardian ID

Provides a unique ID reference number for specific Guardian

Child ID

Provides a unique ID reference number for a specific Child

Payment Account ID

Provides a unique ID reference number for the specific Payment Account linked to transactions. This is a unique ID per Centre
