Leads Report


This article will assist you with viewing and understanding the Leads report.


When would I use this report?


The Leads report enables you to view all details of leads and their statuses for your Service/s, for reporting purposes, including:

  • Lead/tour statuses
  • Marketing details
  • Next contact dates
  • Centre/s the leads are linked to (will assist Users who have Enterprise/multi-centre access)


This report includes further information than what you are able to view by extracting the excel report from the Waiting List & Tours screen.


The report will display also includes a unique identifier to allow you to cross-reference across multiple reports


Where can you find this report?


The Leads report can be located on your reports screen.


  1. Select the Reports screen from the left hand menu
  2. Under the Waiting List section select the Leads report.



What will this report show?

This report will display:


Column

Heading

Description

A

Guardian

Displays the first and last name of the Guardian the lead/waitlist enquiry is linked to.

B

Mobile Number

Displays the mobile number that has been added for the Lead

C

Phone Number

Displays any other phone number that has been added for the Lead

D

Email

Displays the email address that has been added for the Lead

E

Child

Displays the first and last name of the child the lead is linked to

F

Date of Birth

Displays the DOB of the child.

G

Care Start Date

Displays the requested date to commence care for the lead.

H

Care Start Day

Displays the day of the week the guardian is requesting to commence care for the lead.

I

Day Required

Displays the requested day of the care the guardian is requesting to commence care for the lead.

J

Tour Status

Displays the status of the tours - booked, none, complete, reschedule, no show.

K

Tour Date

Displays the date the tour has been booked for.

L

Enquiry Status

Displays the status of the lead/enquiry - active, pending, in progress. lost, archived waitlisted, enrolled.

M

Enquiry Created Date

Displays the date the lead/enquiry was created in Xap.

N

Enquiry Updated Date

Displays the date the lead/enquiry was last updated by a User in Xap (Guardian or Service).

O

Next Contact Date

Displays the next contact date for the lead/enquiry as managed by the Service.

P

Tag(s)

Displays the any auto or manual tag's that have been linked to the lead/enquiry eg. medical. flexibility for bookings.

Q

Hear About

Displays the marketing details that has been linked to the lead/enquiry.

R

Centre

Displays the name of the centre the lead/enquiry is linked to.

S

Organisation ID

Displays ID of the organisation the lead/enquiry is linked to.

T

Provider ID

Displays ID of the provider the lead/enquiry is linked to.

U

Centre ID

Displays ID of the centre the lead/enquiry is linked to.

V

Enquiry ID

Displays ID of the organisation the lead/enquiry is linked to.




How would I use this report?


The report can be exported out to excel or csv formats as well as filtered.


Filtering the report


To refine the details listed,

  1. Select the reports option icon
  2. Select the filter icon from the drop-down


  1. You will then be able to view the current refinements showing. Select the section you wish to refine and edit the selection.
  2. Once complete, select apply.


Exporting the report


To export the report,


  1. Select the reports option icon
  2. Select the export icon from the drop-down
  3. Select the report format either excel or  csv
