New Starters Report


This article will assist you with viewing and managing the New Starters Report that will display Children who are new to the Service.



What Information is on the Report?


This report will allow users to filter on new children with a first Arrangement Start date between the 2 selected dates.


The report will contain key information to assist with viewing or managing New Children who are commencing care for your Service e.g.


  • Enrolment Start Date
  • Room
  • Session/Fee


How would I use this report?


This report can assist with managing and viewing Children who are commencing care.

For CCSS Services:

The Enrolment Start Date will be based on the Booking Start Date. So if the child's Booking Starts for a future Date, you will be able to change the CCSS Enrolment start date to eg. Monday for the current week.

This will allow the Guardian to confirm via the myGov prior to the child commencing care.


Kindy Services

This will allow you to see the Child and Room booking details within the selected date range.


What can I do with the information on the Report?


The ability to view New Starters within a selected date range, will allow you to from a business point of view:

  • Track Usage within a period
  • Manage CCSS enrolments
  • View upcoming Bookings to assist with Waitlist and Vacancy Management.



Viewing the Report


To view the New Starters Report:


  1. Select the Reports Screen from the left hand menu
  2. Select the New Starters Report



The screen will display as below:




Exporting the Report


To export the report:


  1. Select the report option on the top right hand corner
  2. From the drop-down select the Export option
Note: You can also use the Filter icon to change the report dates that are displayed.
  1. Select the report format, either CSV or XLS




Report view


The report will display:


  1. Centre Name
  2. Family Name
  3. Primary Guardian First Name
  4. Primary Guardian Last Name
  5. Child First Name
  6. Child Last Name
  7. Room Name - Name of the Room the child is booked into
  8. Enrolment Start Date - The Start date the Enrolment is commencing
Note: The Enrolment Start date may match the Booking Start date if the child has been through the Waitlist process. This will assist in managing the Start Date of the Child's CCSS Enrolment if you would like the Guardian to be able to confirm via the myGov prior to the child commencing care.
  1. Waitlist Created Date - Displays the Date the Waitlist enquiry was created
  2. Pattern Type - Displays the Type of Booking
  • Casual
  • Weekly
  • Fortnightly
  1. Number of Days of Attendance - Displays the number of days for the booking.
Note: There will be 10 in the example of the child attending 5 days per week for ASC and BSC.
  1. Session Name - Displays the name of the Session/Fee the Child is booked under.
  2. Mobile - Displays the Primary Guardians phone number
  3. Email Address - Displays the Primary Guardians email
  4. Tags - Displays any Tags that may be applied to the Family/Guardian or Child.
  5. Centre ID - Displays the Centre ID of the Service the new Starter is for
  6. Family ID - Displays the Centre ID of the Service the new Starter is for
  7. Primary Guardian ID - Displays the Centre ID of the Service the new Starter is for
  8. Child ID - Displays the Centre ID of the Service the new Starter is for



What if I need clarification on what is on the report?


Xap will always display the most up to date information based on the Waitlist and Filtered Dates.
