Pickup and Drop Off Authority Report



When would I use this report?


The Pickup and Drop Off Authority report enables you to view details of all guardians and nominees (emergency contacts) who have pickup and drop off authorisation** for the children within the service.

This report is able to be exported and refined to suit the service's needs and display desired details.

The pickup and drop off report will display all active and inactive children within your service and includes a unique identifier to allow you to cross-reference across multiple reports.


Where can you find this report?


The Pickup and Drop Off Authority report can be located on your reports screen.


  1. Select the Reports screen from the left hand menu
  2. Under the Family section select the Pickup and Drop Off Authority report.



What will this report show?

This report will display:


Column

Heading

Description

A

Child

Displays the first and last name of the child.

B

Known As

Displays the known as name if this has been set by the Guardian or Service (can be different to legal name).

C

Child DOB

Displays the DOB of the child.

D

Family

Displays the name of the Family the child is linked to.

E

Person Type

Displays the type of person linked to the child eg/ guardian or nominee.

F

Person

Displays the first and last name of the contact ({guardian or nominee) linked to the child.

G

Person Known As

Displays the known as name if this has been set by the Guardian or Service (can be different to legal name).

H

Dropoff-Pickup

Displays the Y or N authorisation for the guardian/nominee for being able to sign the child/ren in/out of the Service.

I

Pickup From Date

Displays the effective date for the nominee to be able sign the child/ren in/out of the Service.

J

Pickup To Date

Displays the effective date for the nominee to stop being able sign the child/ren in/out of the Service.

K

Child Status

Displays the active/inactive status of the child the guardian/nominee is linked to.

L

Family Status

Displays the active/inactive status of the family the child is linked to.

M

Centre

Displays the name of the centre the nominee is linked to.

N

Provider

Displays the name of the provider the nominee is linked to.

O

Organisation

Displays the name of the organisation the nominee is linked to.

P

Family ID

Displays the Family ID the child is linked to.

Q

Child ID

Displays the Child ID.

R

Person ID

Displays the Person (guardian or nominee) the child is linked to.

S

Centre ID

Displays the ID of the centre the child is linked to.

T

Organisation ID

Displays ID of the organisation the child is linked to.




How would I use this report?


The report can be exported out to excel or csv formats as well as filtered.


Filtering the report


To refine the details listed,

  1. Select the reports option icon
  2. Select the filter icon from the drop-down



  1. You will then be able to view the current refinements showing. Select the section you wish to refine and edit the selection.
  2. Once complete, select apply.




Exporting the report


To export the report:


  1. Select the reports option icon
  2. Select the export icon from the drop-down
  3. Select the report format either excel or csv
