SMS Communications Dashboard report


The SMS Communications dashboard report is a centralised dashboard for managing all system-sent SMS.

It enables Centre Admins, Finance Officers, and users to view, filter, and track outgoing messages to improve visibility of SMS for the organisation.


All reports are available via the Xap Analytics screen. For full details on managing and filtering reports via Xap Analytics see: Xap Analytics screen overview.


How do I use the information on the report?


  1. Select a Date Range - Choose the reporting period to view SMS activity for a specific timeframe.
  2. Review Key Metrics - Quickly see totals for SMS sent, successfully delivered, pending, and failed messages.
  3. Filter and Drill Down - Use filters to refine results by centre, status, or other criteria to investigate specific messages.
  4. Identify Trends and Issues - Check which centres are sending the most SMS and spot any duplicate messages sent to families.
  5. Take Action - Use the insights to resolve failed SMS, reduce duplicates, and improve communication efficiency.


Report Tabs


The report is broken into 4 parts:

  1. Usage - SMS Usage information
  2. Details - Details of SMS sent
  3. Credits Used
  4. Numbers Active


What information is on each Tab


On all of the Xap Analytics dashboard reports, hovering over the field, allows you to view the underlying data to action further.


Usage Tab Report


Provides an overview of SMS activity for a selected period, including total messages sent, successful, pending, and failed SMS. It also highlights top centres using SMS and identifies any duplicate messages sent to families.


Section 1: Filters

Heading

Description

Centre

Refine the centre/s to view SMS usage for.

Status updated

Refine the date range to view SMS usage for.


Section 2: KPI's

Heading

Description

SMS Requests

Total number of SMS requests sent regardless of Delivery Status.

Successful Delivery

Number of SMS with the “Delivered” and “Received” delivery statuses

Pending

Number of SMS with these statuses: Queued, Sent, Paused, Null (not yet updated)

Failed

Number of SMS with these statuses: Failed, Expired, Rejected, Blocked, Cancelled, Dead


Section 3: Messages over time

Shows message volume trends over time, helping users track sending activity and identify patterns or spikes across selected periods.

  • Hovering over a date displays the number of SMS messages in each category, along with the total for that day.
  • Users can also select the time period for the line chart, allowing them to view totals by day, week, or month.


Section 4: Top Senders Chart

  • Displays the top Centres or individuals based on the number of messages sent.
  • When logged in at the Org level, users can choose to view either Top Centre Senders or Top Individual Senders.
  • When logged in at the Centre level, only Top Individual Senders will be displayed.


Section 5: Recipients: Unique vs Duplicate Messages Bar Chart

Displays how many recipients received the same message once versus multiple times.



Details Tab report


The Details Tab report, provides a detailed view of individual SMS requests, including message content, sender information, and overall batch status. This tab will assist you with auditing sent activity and drill down into specific messages.


Important Columns to note

Heading

Description

Created On

Date the SMS request was created.

Message

Body of the SMS

Sender

Number the SMS message was sent from.

Created By

User who created the SMS request

Batch Status

Status of the entire batch when multiple messages are sent.


Batch Status Descriptions

Heading

Description

Pending

At least one message still in progress.

Failed

All messages failed

Partial

Mix of success and failure.

Delivered

All messages delivered



Credits Used Tab report


The Credits Used tab provides you with a dynamic table displaying the total credits used and number of messages sent, allowing you to select your preferred grouping and period.


Note: This tab is accessible only to users with Finance reporting access.


Apply filters for Grouping and Period options. The available period grouping options (Year, Quarter, Month, Week Start) are truncated versions of the Status Updated Date.



Numbers Active Tab report


The Numbers Active tab displays a table outlining the organisation’s SMS configuration status, the number of active virtual numbers within the selected period, and key details about number activations.


Note: This tab is accessible only to users with Finance reporting access.


Section 1: Filters & KPI's

Heading

Description

Active During

Filters the table to show numbers that were active within the selected date range.

Activated Numbers

Total count of numbers activated in the selected date range.

Currently Active

Total count of numbers currently Active.


Section 2: Table

Heading

Description

SMS Config Status

Indicates whether SMS is enabled or disabled for the organisation.

Active Numbers

Number of active virtual numbers during the selected date range.

Current Status

Indicates whether a virtual number is currently active or inactive.

Current Description

Description of the virtual number as configured in SMS settings.

Total Days Active

Total number of days the virtual number was active

Total # of Activations

Total number of times the virtual number was activated.

Last Activated On

Most recent activation date of the virtual number.
