Waitlist Applications Report


This help document will demonstrate how to view, filter and download your service's waitlist applications and their details.


When would I use this report?


The Waitlist applications report enables you to view all waitlisted children for your Service/s and how far along the waitlist journey they are, for reporting purposes, including:

  • Requested start dates and days
  • Guardian contact details
  • Offer statuses
  • Requested start dates, rooms and days of the waitlist
  • Centre/s the waitlists are linked to (will assist Users who have Enterprise/multi-centre access)


The report will display also includes a unique identifier to allow you to cross-reference across multiple reports


Where can you find this report?


The Waitlist Applications report can be located on your reports screen.


  1. Select the Reports screen from the left hand menu
  2. Under the Waiting List section select the Waitlist applications report.



What will this report show?

This report will display:


Column

Heading

Description

A

Family

Displays the first and last name of the Family the waitlist is linked to.

B

Child

Displays the first and last name of the child the waitlist is linked to

C

Date of Birth

Displays the DOB of the child.

D

Parent

Displays the first and last name of the Guardian the waitlist enquiry is linked to.

E

Mobile Number

Displays the mobile number that has been added for the waitlist

F

Email

Displays the email address that has been added for the waitlist

G

Age at Care Start Date

Displays the age of the child in months for their requested start date.

H

Priority Score

Displays the priority score for the child the waitlist is linked to

I

Requested Program

Displays the program (room name) the guardian has requested the waitlist for (can be changed by service).

J

Requested Start Date

Displays the date the guardian has requested date to commence care.

K

Requested End Date

Displays the date the guardian has requested date to end care (will default to program start and end dates, unless changed).

L

Requested Days

Displays the daysthe guardian is requesting to commence care for.

M

Application Status

Displays the status of the waitlist - eg. draft, active, places offered, offer expired, offer rejected.

N

Tag(s)

Displays the any auto or manual tag's that have been linked to the waitlist eg. medical. flexibility for bookings.

O

Hear About

Displays the marketing details that has been linked to the waitlist.

P

Offered Date

Displays the date the offer was made by the service.

Q

Offered Program

Displays the name of the program (room) the offer was made for.

R

Offered Booking Start Date

Displays the date the service has offered the booking to commence care for.

S

Offered Booking End Date

Displays the date the service has offered the booking to end for (will default to program start and end dates, unless changed).

T

Offered Days

Displays the days the service has offered the booking for.

U

Offer Expiry Date

Displays the date the offer will expire on.

V

Created On

Displays the date the offer was made on.

W

Created By

Displays the name of the service user who created the waitlist.

X

Centre

Displays the name of the centre the lead/enquiry is linked to.


How would I use this report?


The report can be exported out to excel or csv formats as well as filtered.


Filtering the report


To refine the details listed,

  1. Select the reports option icon
  2. Select the filter icon from the drop-down


  1. You will then be able to view the current refinements showing. Select the section you wish to refine and edit the selection.
  2. Once complete, select apply.


Exporting the report


To export the report:


  1. Select the reports option icon
  2. Select the export icon from the drop-down
  3. Select the report format either excel or csv
